This position is eligible for teleworking, which is currently one day per week. New hires are eligible to apply 30 days after their effective hire date.

Position Objective:

This position will perform administrative support functions for the MNR Medical Assessment Center, which includes but not limited to, assisting the nursing and medical staff; serving as the liaison with field supervision; processing employees. Responsible for ensuring that employees are in compliance with OHS Federal, state, and local regulations and agency policies.

In addition, this position will assist with preparing correspondence and reports. Trains and reviews work of the Health Services Assistant (HSA) Level I to ensure their work is done accurately and in line with existing procedures.

Responsibilities:

  • As the subject matter expert for OHS serving a particular agency, this incumbent serves as the first level of escalation for issues and quality assurance regarding the:
    • Processing of candidates and employees into medical database;
    • Serve as liaison with and provide direct communication on employee scheduling and their availability with administrative staff at various locations;
    • Generate daily analysis report to promote reconciliation of all visits to the medical assessment ensuring confidentiality is maintained with medical records;
    • Separate out-of-service medical records and prepare same for shipment to long-term storage;
    • Prepare medical charts for daily scheduling;
    • Prepare medical charts as requested by Labor Relations and Law Department.
  • May assign and review work and advise HSA I on appropriate procedures and guidelines as required.
  • Other duties as assigned.

Required Knowledge/Skills/Abilities:

  • Must have quality assurance experience with clerical duties, including filing, scheduling, scanning documents in the Microsoft Office environment.
  • Must have experience with data entry for online medical recordkeeping software or comparable systems.
  • Strong attention to detail.
  • Proficient with communication and interpersonal skills.
  • Proficient with organizational and presentation skills.
  • Proficient with working with all internal levels within a given organization.
  • Proficient with communicating and interacting well with external health care providers. 
  • Proficient with completing short- and long-term projects effectively and as efficiently as possible.
  • Proficient with analytical and/or quantitative skills.
  • Proficient with Microsoft Office Suite or comparable applications, i.e., Word, Excel, PowerPoint, and Outlook.

 

Required Education and Experience:

  • High School diploma or GED equivalent; and 
  • Minimum three (3) years of full-time clerical experience;
  • Must have two (2) years prior customer experience (can be concurrent with the 3 years).
  • Minimum one (1) year of supervising a team of clerical staff, including temporary and contractors (can be concurrent with the 3 years).

The Following is/are preferred:

  • Bachelor's degree in Human Resources, Business, or a health-related field. A Bachelor’s degree in a related field may be used in lieu of 4 years experience. Candidate must have 2 years customer service experience and concurrently have 1 year of supervisory/leadership experience.
  • Master’s degree in Human Resources, Business, a health-related field or a related field or an equivalent combination of education from an accredited college and experience may be considered in lieu of an additional 2 years of experience. Candidate must have 2 years customer service experience and concurrently have 1 year of supervisory/leadership experience.
  • Familiarity with the MTA’s policies and procedures. 

 

Other Information

May need to work outside of normal work hours (i.e., evenings and weekends)

Travel may be required to other MTA locations or other external sites.
