Position Title: Administrative Support (Queens North Division), Emerging Talent Intern
Hourly Rate: $19.00 (Undergraduate), $21.00 (Graduate student)
All internship positions are onsite and require regular, in-person attendance at the designated work location.
OVERVIEW OF DEPARTMENT:
The Queens North Division, Office of the General Manager, oversees 4 Bus Depots. The General Manager’s office handles administrative functions such as budget compliance, overseeing daily and weekly reporting, tracking headcounts, absences, and fuel reconciliations as well as all related reporting. The office also serves as a liaison between Depots and Human Resource functions. The Intern will support the Division office and Depot by generating, reviewing, and compiling reports necessary to optimize budget compliance and depot operations and provide support for general administrative tasks for both Transportation & Maintenance functions at the Division and Depot level.
RESPONSIBILITIES:
- Enter daily fuel and traffic into the department’s files to ensure accurate recordkeeping and reporting.
- Review depot self-audits to ensure compliance with internal standards and procedures.
- Maintain organized filing systems for the Division.
- Perform data entry and prepare reports using Microsoft Excel and other office applications.
- Compile, analyze, and submit daily and weekly division-wide reports for executive review, ensuring data accuracy and resource optimization.
- Assist with special projects and additional assignments as needed, gaining hands-on experience in transit operations, workforce support, and departmental processes. assignments as needed
PROJECTS:
- Generate and analyze daily morning and weekly reports to support budget compliance, Bus Operations, performance tracking and service delivery goals.
- Sort, organize, and maintain Bus Files to ensure accurate, compliant, and accessible records.
- Provide general administrative support to the Division office including data entry, document management, and internal communications.
REQUIRED QUALIFICATIONS:
- Proficiency in Microsoft Office Suite and/or comparable PC applications is a must.
- The candidate should possess organizational, presentation, time-management, problem-solving, and decision-making skills.
- The candidate should have a keen eye for detail and be able to work independently while being an active team player.
- The candidate should be able to maintain and protect confidentiality.
- Project Management, Research Skills, and Adherence to deadlines.
REQUIRED EDUCATION:
- Matriculated in an undergraduate program in good standing with at least a 2.5 GPA or a graduate program in good standing with at least 2.8 GPA
- Major(s) Preferred: Accounting, liberal arts, business, social science, or related major
