Job Summary

The Associate Resource Manager is responsible for working closely with the Senior Resource Manager to support the resource planning, allocation, project maintenance, and scheduling for the for resources that include full-time and freelance staff. The Associate Resource Manager assists in the workload management and prioritization of assignments in support of a portfolio of digital healthcare programs. In addition, the Associate Resource Manager works to develop key relationships with Client Services/Project Management teams, Web/Email Production teams, Creative, and the MLR team to ensure that content development resources are aligned.  He/she will also work closely with the Senior Resource Manager to ensure that resources are assigned based on skill set, timing, and prioritization needs. The Associate Resource Manager focuses on developing excellent project management skills, and helps ensure that projects run efficiently, according to process, and meet client and internal deadlines. This role will help plan for incoming projects and implement resource changes against evolving priorities for existing projects. The ideal candidate has the desire to develop an understanding of each resource’s professional disciplines, has some experience or exposure to project workflow/management, and some experience working in pharmaceutical/healthcare marketing.


·         Help lead the department resources by managing the workflow from internal kickoff through successful launch

·         Support the coordination of capabilities and workload by project and priority; develop the ability to understand project priority needs in relation to deadline requirements

·         Effectively communicate with and coordinate the work of multiple internal teams to ensure quality and timeliness; support a consistent positive workflow between teams

·         Project assignment and ongoing task monitoring; continuously assess team deliverables and prioritize accordingly

·         Monitor day-to-day project tasks, identifying potential areas for delay and actively work with Senior Resource Manager to address and solve issues before they arise

·         Leverage resourcing dashboards for the department and individual resources via online project management workflow system (Workfront)

·         Escalates day-to-day task-related issues, acceleration, and prioritization requests to the Senior Resource Manager as needed

·         Helps lead daily department resource meeting and facilitates resourcing and prioritization issues/conflict resolution with the Senior Resource Manager

·         Focus on mastering process in order to help improve the organization's ability to produce high-quality programs efficiently and on deadline

·         Recommend process improvements to Senior Resource Manager and broader Resource Management team on an ongoing basis

·         Participate in and support special projects as assigned

·         Develop and maintain knowledge of Medscape product offering and process as it relates to the Content team and overall organizational workflow

·         Maintain constant knowledge of pharmaceutical company requirements and submission systems, including but not limited to, regulatory guidance, and annotation guidelines

·         Cross train with other departments to develop a 360 understanding of process/project workflow and coverage needs


·         BA/BS or equivalent years of experience

·         Minimum 1 year of experience in project management, content development, production/development, marketing, or other relevant field

·         Minimum 1 year relevant experience working in a high-volume, process-oriented environment with experience in pharmaceutical/healthcare marketing or advertising preferred; agency experience a plus

·         Experience using online workflow management tools (i.e Workfront) a plus

·         Self-motivated and solution-oriented self-starter with the ability to support peers and action-oriented results

·         Strong problem-solving, written and verbal communication skills

·         Exceptional organizational skills and the ability to support multiple tasks/responsibilities simultaneously
