Project Delivery Coordinator, Services - Japan

The individual is responsible for Japan Services project delivery coordination and business operation, such as revenue forecasting, project milestone internal management, collecting project milestone/completion/survey form from customer, SOW signing process, operational reports (utilization, contribution margin), and assisting Japan Services director, on miscellaneous projects for additional services area and support field consultants operational tasks when needed.

Also working with APJ project management team to develop new process, tools, and governance to integrate Japan consulting services operations to be able to support better Japan services business, operate locally, to be suitable for Japan business customs.

 

Summary of the position:

                                                    

  • Maintains relationships with Japan Services director and Asia Pacific Japan Services management to ensure timely, accurate, and prompt forecast submissions and any of project delivery coordination work for Consulting, Education and Residential.
  • Responsible for internal and external Services related processes, to sales systems and operational reporting functions, internal project management tools, such as DocuSign, Milestone Completion Form, Customer Survey, External partner arrangement (Consulting and Education) NetSuite, and so on – both sales and delivery processes.
  • Responsible for the ongoing delivery of operational reporting functions.

Primary Accountabilities

 

The primary duties for this position include but are not limited to:

 

  • Ensure consulting client revenue collection accurately matches forecast and SOW terms for Consulting Services Japan, working with customers and consultants.
  • In charge of SOW internal & counter-signature process and consultant assignment and project setup.
  • Ensure consultants enter the correct NetSuite project and billable & non-billable hours and matches in SOW and maintain accuracy.
  • Work with APJ Ops Operation team for SOW signing process, if necessary for non-standard SOW, assist Services Japan director to work with Legal to finalize custom conditions
  • Distribute relevant revenue forecast reports to APJ management weekly
  • Any of operational work for new services area (Education and Residential) when it requires local operation.
  • Assist in other miscellaneous projects and tasks as directed
  • Coordinate and arrange team meetings, events, and external vender training
  • Coordinate the sub-contractors process, resources request and coordination, working with Service partner manager and sub-con partners in Japan.
  • Work with WW/APJ Services governance model, administration and operations to develop new process, tools, and governance
  • Assist Japan Services Director for any administrative work

 

Qualifications (knowledge, skills, abilities)

 

This position must possess excellent planning, relationship building, problem solving, and communication skills.  The individual must be flexible, dependable, and capable of multi-tasking.  The candidate should have around 5 years of professional services operation relevant experience with a global computer technology company. English language skills are highly desired. (read/write and verbal communication is preferred since the individual needs to work with WW team) Also contract/agreement/finance knowledge is also preferred.

Requirements (Education, Certification, Training, and Experience)

 

  • Bachelor of Arts or Science required.
  • Excellent reading, writing and verbal communications in English and Japanese
  • Finance knowledge, analytical skill are preferred
  • Professional services business operation experience is preferred.
  • Project management knowledge is preferred
  • Proven problem-solving ability
  • Positive customer service attitude
