Trade Show Specialist (Public Safety)

Tyler’s Technologies’ Marketing team is hiring a Trade Show Specialist responsible for collaborating and executing multiple aspects of trade show management for various sales teams. Primary responsibilities will include customizing the trade show experience for target audiences to achieve Tyler’s strategic goals and ensuring that trade show delivery is consistent. The Trade Show Specialist will handle trade show budget recommendations and management, lead management, booth inventory/shipping and exhibit support.
Tyler participates in approximately 800 trade shows annually across its eight divisions. Trade shows are one of the largest expenses in the Marketing budget and a significant part of our brand strategy. Successful administration of every trade show is critical to the success of our company’s image and brand awareness.
Trade Show Specialists serve as key contributors to advancing the company’s trade show program through innovation, efficiency or analytics. The Trade Show Specialist is responsible for:
- Collaborating with sales to ensure maximum exposure and advantages at shows
- Actively participating in continuing education/special studies to stay current on topics and trends
- Maintaining and making recommendations on trade show budgeting
Responsibilities
- Responsible for identifying and managing trade shows the company should participate
- Research trade shows to obtain the latest vendor information
- Responsible for managing high-profile and large trade shows
- Meet with the marketing lead to review recommended trade shows
- Generate budgetary reports and provide budget projections to the marketing lead
- Track and analyze trade show demographics: # of attendees, job titles, etc.
- Explore, analyze and present sponsorship opportunities with vertical team
- Manage sponsorship opportunities in trade show marketing
- Ensure Tyler-brand consistency in marketing campaigns and trade show planning
- Responsible for all trade show logistics including:
- Selecting booth location
- Submitting approved company/divisional descriptions
- Selecting/purchasing show services (electricity, materials handling, Internet, etc.)
- Securing and ensuring timely delivery of pre- and post-show lists
- Collecting and consolidating pre- and post-show sales feedback either through surveys or direct interaction with sales reps
- Ensuring that all appropriate materials arrive at the show for installation
- Generating post show budget versus expense reporting
- Coordinating the execution of show-related marketing campaigns in collaboration with marketing specialists
- Develop and maintain positive working relationships with all clients which may include associations, Tyler clients, Tyler staff and third-party vendors.
- Meet with the vertical marketing management at least on a monthly basis to discuss items for which the trade show specialist is accountable, including but not limited to:
- Awareness of marketing communications campaigns and their impact on trade shows
- Budget versus expenses: identified discrepancies in time to make course corrections as well as post show
- New show requests: basic due diligence, work with trade show specialist and analyst as appropriate
- Excessive cancellations/substitutions made by sales
- Challenges, obstacles, suggested changes/modifications to processes
- Utilizing trade show management software, the trade show specialist is responsible for maintaining trade show records including:
- Comprehensive files for each trade show
- All associated costs
- Pre- and post-show attendee lists
- Based on initial feedback from marketing, work with sales to determine who will represent the company. Assist in finding alternate representation if needed. Responsible for distributing show information, determining any special requests that might be needed for each show
- Responsible for booth inventory to ensure availability and appropriateness for each show, and reporting effectiveness and usage of materials back to the marketing lead
- Responsible for tracking and coding all show related expenses to credit card statements and invoices with the proper account code for expense tracking
- May be required to code FedEx bills for payment
- Responsible for auditing/managing literature and promo item inventory, including producing and distributing regular inventory reporting to the marketing team
- Manage Tier 1/Tier 2 Show responsibilities include:
- Work with exhibit house to secure assets, arrange show services and shipping logistics
- Work with vertical team to identify and execute engagement programs that align with established goals that drive booth traffic
- Initiate and/or lead pre-show meeting to communicate established goals for show and discuss all relevant activities surrounding the show
- Responsible for negotiating value adds and/or discounts for sponsorships to garner additional value
- Responsible for executing lead management/engagement/return on objective reporting
- Responsible for ad-hoc marketing communications/trade show projects
Qualifications
- Bachelor’s degree in a related field or equivalent experience preferred, but not required
- Typically requires 3-5 years of trade show experience
- CTSM or CTSM study recommended
- Excellent organizational skills
- Basic understanding of our industry and marketing concepts
- Strong communication skills
- Proficiency in Microsoft Office products
- Ability to travel 2-4 times a year for trade shows and internal meetings
The Trade Show Specialist must be able to:
- Keep track of multiple trade shows, booths and reps and ensure that the company is properly represented, while being meticulous with details
- Make immediate decisions on-site at trade shows
- Work with a team of individuals in remote locations and maintain a positive attitude
- Operate under minimal supervision
- Establish priorities and meet deadlines
- Handle multiple tasks while paying close attention to details
