What You Will Do:
The Pharmacy Service Coordinator serves as a part of the pharmacy leadership team with the primary responsibility of overseeing the day to day operations of the pharmacy and ensuring top notch service to customers and patients. This team member will be an active Pharmacy Technician in Valley Pharmacy and will also have administrative responsibilities as outlined below. This individual must foster strong collaboration with the Technician team, Pharmacists, Lead Pharmacists, Operations Manager, and Director.
The Operations Coordinator serves as the team lead for the pharmacy staff. A successful Coordinator will foster a team environment and lead by example. This will be accomplished with strong communication skills, modelling ideal behaviors, setting expectations, counselling, and disciplining employees as necessary followed by promptly completing appropriate documentation. The Coordinator will interview and assist in the selection of new hires then ensures appropriate orientation and training is completed. He/she will serve as a resource person to the pharmacy staff for policies and procedures; software changes and updates; third party processing and claims rejections. The Coordinator will also ensure all equipment necessary for pharmacy operations is maintained by working closely with Valley Health IS and the software vendors; facilitating repairs when necessary and addressing critical failures promptly. The Coordinator will provide the daily leadership structure to allow the team to be focused on customer service and workflow efficiency that will drive operational excellence.
The Coordinator performs duties such as maintaining and organizing all employee and department files; coordination of staff meetings; prepares all necessary documents for accreditation and inspection visits; account maintenance and reconciliation; preparing and posting staff work schedules; and office supply ordering. Additional financial responsibilities include invoicing, preparing daily sales reports and bank deposits; reviewing third party reports to correct claims transmission errors and Maximum Allowable Cost (MAC) issues; recording third party payments, and participates in the establishment and maintenance of the operating budget.
The Coordinator plays a key role in the management of the pharmacy inventory. This includes the management of daily medication orders, cycle counts, back orders, expired medications, replenishment, shelf levels and credit returns. Merchandising and retail management of the over the counter area of the pharmacy is also a responsibility of the Coordinator. He/she will be expected to have the knowledge of all vendor purchasing contracts to maximize savings and profitability for the pharmacy business operations.
The Coordinator reports to the Manager and Director when necessary; actively and appropriately seeking resources when guidance in problem solving or performance/process improvement is needed. He/she is cross–trained in all areas of the pharmacy and may be assigned projects or duties deemed appropriate by the Manager or Director of the pharmacy.
What You Will Bring:
High school graduate or equivalent required
3 years previous pharmacy experience required
Experience with pharmacy work flow and reconciliation required
Lead Technician experience preferred
Certification & Licensures
Virginia Pharmacy Technician Registration required
Certification from Pharmacy Technician Certification Board (PTCB) preferred
Exhibits a high level of communication and leadership abilities that fosters teamwork
Has attention to detail and strong organizational skills
Has knowledge and proficiency in Microsoft Office applications and office management
Experienced in retail operations to include financial and business acumen
Has experience in customer service management
