Position Title: Fleet Operations, Emerging Talent Intern
Hourly Rate: $19.00 (Undergraduate), $21.00 (Graduate)
All internship positions are onsite and require regular, in-person attendance at the designated work location.
OVERVIEW OF DEPARTMENT:
Fleet Operations oversees the management, maintenance, and strategic use of an organization's vehicles and related assets. The function ensures that vehicles are safe, compliant, cost‑effective, and available to support daily business needs. Core responsibilities typically include vehicle acquisition and disposal, maintenance scheduling, fuel and mileage tracking, driver compliance, audits, recordkeeping, and coordination of supporting systems such as communications equipment and toll transponders.
RESPONSIBILITIES:
- Invoicing Processing & Receipting: Manage end-to-end invoice processing for 31 active contracts, ensuring accuracy, timely receipting (approximately 300 monthly transactions), and compliance with internal financial controls.
- Accounts Payable Resolution (Match Exceptions): Investigate and resolve long-standing accounts payable discrepancies and match exceptions, reducing payment delays and maintaining positive vendor relationships.
- Bus Ridership Reporting: Support the preparation and analysis of monthly Fleet Operations bus ridership reports, organizing data by route, time intervals, and passenger volume to inform operational and planning decisions.
- Operational Form Development: Design and implement standardized operational forms to improve workflow efficiency and consistency, including Vehicle Check-Out Forms, Daily Work Performed Reports, Dispatch Assignment Forms, and Bus Waiver Forms.
- Vehicle File Management: Maintain comprehensive and up-to-date vehicle records, including onboarding new assets, processing vehicle auctions, and updating key details such as license plates, registrations, and re-classifications.
- Auction Coordination & Documentation: Collaborate with New York City Transit and internal leadership to prepare and process required documentation for vehicle auctions and asset disposition.
- Work Order System Modernization: Contribute to the development and implementation of a digital work order system aimed at improving tracking, transparency, and overall operational efficiency.
- E-ZPass Database Administration: Provide ongoing support for the Fleet Operations E-ZPass database, ensuring data accuracy, proper account management, and timely updates.
- Fuel Card Database Management: Assist in maintaining and auditing the fuel card database, ensuring proper assignment, tracking, and compliance with organizational policies.
PROJECTS:
- Managing Accounts Payable and assist with Vendor relations.
- E-ZPass reconciliation and record keeping.
- Assist with Fleet data analysis with the goal of improving operational workflow.
REQUIRED QUALIFICATIONS:
- Proficiency in Microsoft Office Suite is a must.
- The candidate should possess organizational, analytical and communication skills.
- The candidate should be able to work well under pressure and prioritize tasks effectively.
- The candidate should have a keen eye for detail and be able to work independently while being an active team player.
REQUIRED EDUCATION:
- Matriculated in an undergraduate program in good standing with at least 2.5 GPA AND/OR matriculated in a graduate program in good standing with at least 2.8 GPA
- Major(s) Preferred: Business Administration, Public Administration, Supply Chain / Logistics Management, Transportation Management, Finance, Data Analytics, or related field.
