What You Will Do:

The Administrative Secretary is responsible for performing diversified administrative/secretarial duties for the Service Excellence and Volunteer Services Departments.
Responsibilities and Duties
Manages the calendar of Senior Director of Service Excellence, which includes scheduling meetings, and confirming appointments and itineraries. Plans and coordinates special meetings, activities and events.
Coordinates schedules and arrange appointments and meetings with staff and persons/organizations within Valley Health, and both inside and outside the community. Implement changes in schedules with parties concerned. Maintain computer calendars daily, weekly and monthly.
Makes travel arrangements for outside meetings (i.e., airline reservations, hotel accommodations, car rental, travel advance, etc.).
Serves as a minute recorder for assigned meetings, submits minutes for proof reading by chair and distributes minutes as assigned by Senior Director.
Expeditiously processes volunteer paperwork, record volunteer hours, and provide general administrative support to the Volunteer Services Program Manager.
Performs general secretarial duties such as operation of office equipment and reviews, sorts and files a variety of material. Performs set-up of filing system as needed, prepares file folders and categories for new files.
Compose, transcribe, type, proof, edit, copy and distribute a variety of materials (i.e., background checks, badge processing, request for access forms, etc.). All types of material are consistently prepared in a timely manner meeting stated deadlines 98% of the time.
Answer and place telephone calls courteously, screen and assist caller. Take concise messages for call back.
Performs timekeeping for Senior Director.
Troubleshoots and resolves operation problems at the Administrative Assistant/registration level as issues arise. Escalates issues that cannot be immediately resolved.
Responsible for ordering supplies and materials.
Track budget expenditures and review financial sheet to ensure accuracy for assigned cost center as assigned by the director.

What You Will Bring:

Education

High School Diploma or GED required

Experience
Five (5) years work experience demonstrating advanced administrative skills and expertise as a secretary or administrative assistant.


Qualifications
Keyboarding and computer skills/knowledge required.
Basic knowledge of medical insurances requires.
Excellent written and oral communication skills required.
Ability to use good judgement and critical thinking skills to prioritize multiple tasks and solve problems required.
Ability to maintain confidentiality of all medical, financial, and other information required.
Ability to work independently, set priorities, remain well-organized and attentive to details required.
Ability to complete work assignments accurately and in a timely manner.
Ability to handle difficult situations involving patients, staff, and others in a professional manner required.
Medical terminology preferred.
