The Customer Service Representative I (CSR1) provides the first impression of the hospital to clients and patients. The Customer Service Representative I (CSR1) must be friendly, professional, courteous and capable of multi-tasking in a noisy, busy practice with many interruptions. The Customer Service Representative I (CSR1) is an entry level position.

Pay range: $15.00-$18.00

Primary Responsibilities

The primary responsibilities as a Customer Service Representative I (CSR1) include:

  • Telephone calls
    • Take messages, attach message to patient record and place into Priority Client In-Box; write file / message details on the white board in the treatment area
    • Direct calls to appropriate person
    • Answer client questions where appropriate / find a technician to assist the client
    • Take message and write up slip and pull file for Rx refills and place in the Rx to be approved file in the treatment area
  • Scheduling Services
    • Scheduling Doctor, Technician, and grooming appointments as well as surgical procedures
    • Assist in client education
    • Make pre-operative blood work appointments at least two days before surgery but no further than 10 days in advance of surgery
  • Greeting clients and patients in a friendly manner
  • Create new client files paper and computerized as needed
  • Prepare files and all paperwork needed for appointments
  • Intercom technician, veterinarian, or groomer of patient arrival or needed departure
  • Keep clients informed if we are running behind schedule
  • Scan products and charge out clients as appropriate, ensuring that clients do not leave without payment
  • Present invoices and receive payments; all products and services are to be paid at time of
  • Prepare vaccine / health certificates as appropriate
  • Prepare patients records for next day appointments
  • Retrieve and Checking-out medications – under direction of the veterinarian
  • Check-out client purchasing pet food and supplies
  • Perform opening and closing procedure lists
  • Keep client contact information up to date, ensure all data is accurate and update records
  • Update vaccination and health history in files
  • Client communication:
    • Handle miscellaneous correspondence
    • Send reminder notices and recalls
    • Complete reminder calls each day
  • Maintenance of waiting room and reception area:
    • Prepare cookies and coffee and keep the refreshment area clean, tidy and stocked
    • Keep magazines up-to-date and tidy
    • Perform daily cleaning and as needed cleaning of waiting area, reception area, staff lounge and public restrooms
  • Assist clients
  • Perform other duties as assigned
  • Other responsibilities as a receptionist may include (usually during busy times)
    • Assist technician by getting patient’s weight
    • Check client into an exam room
    • Attain patient history
    • Reason for visit
    • Assessment of patient
    • Cleaning of exam rooms

Requirements

In the position of Customer Service Representative, I (CSR1), you need to have the following:

  • Good communication skills oral and written
  • Good customer service skills
  • Good telephone manner
  • Motivated self-starter and team player
  • Must be able to multi-task unrelated tasks simultaneously
  • Good computer skills are required; we use IntraVet, Internet search engines, Microsoft based programs any experience with these is considered a plus.
  • Must be able to be on feet all day and be able to lift 40+lbs
