ABOUT THE ROLE
As Office Manager, you will play a pivotal role in ensuring the smooth operation and organisation of our workplace.
You will be responsible for managing various administrative tasks, fostering a positive office culture, and supporting the efficiency and productivity of our team along with overseeing and organizing office events for the Malta office.
WHAT YOU'LL BE DOING
- Oversee day-to-day administrative tasks including supplies, space planning, handling incoming and outgoing correspondence and communication, maintaining office equipment and facilities. Implement efficient systems and procedures to streamline administrative processes and optimise office operations.
- Support as needed with office related projects and ensure projects are flawlessly executed.
- Ensure a clean, organised and comfortable office environment conducive to productivity and well-being.
- Coordinate maintenance and repairs for office facilities and equipment, liaising with external vendors as necessary.
- Monitor office expenses and budget allocation for office-related needs.
- Be the local CSR ambassador and a key link with our local community, developing relationships and fostering partnerships with local entities to support our CSR activities and promote our brand.
- Work across departments and with colleagues in HR to foster a positive office culture and promote employee engagement through initiatives such as teambuilding activities and events, wellness initiatives and other benefits.
- Encourage open communication and collaborations among team members to enhance morale and job satisfaction.
- Additionally, you will support and enhance the onboarding process for new joiners.
- Manage relationships with external vendors, landlords and service providers, negotiating contracts and agreements to ensure favourable terms and cost-effective solutions.
- Coordinate vendor services such as catering, cleaning and security to support the needs of the office.
- Plan and organise company events, meetings and gatherings, both onsite and offsite. Coordinate logistics, manage invitations and ensure events run smoothly from start to finish.
- Collaborate with various departments, including the marketing events team, to execute successful events that promote team cohesion and morale.
- Implement and enforce Health & Safety protocols to create a safe and secure work environment for all employees.
- Stay informed about relevant regulations and guidelines, and proactively address any potential hazards or risks.
- Ensure compliance with GDPR standards and ISO requirements for all office related matters.
- Identify opportunities for process improvement and efficiency gains within the office environment.
- Solicit feedback from team members and stakeholders to implement changes that enhance productivity and satisfaction.
WHAT WE ASK OF YOU
- At least 2 years of experience in an office management or similar administrative role;
- Great communication and interpersonal skills with a positive attitude and team spirit;
- High organizational skills and attention to details;
- Proactive and solutions driven with the ability to think outside the box;
- Adaptability and capability to work and succeed in a fast-paced dynamic environment;
- Proven experience working with Microsoft Office tools, particularly Excel;
- Fluency in spoken and written English with any additional language being a plus;
- Reliability and discretion.
