Our Client Care Specialist are an integral part of the hospital. Client Care Specialist are responsible for a variety of tasks related to customer service and patient care within the veterinary practice. Tasks include scheduling appointments for existing clients and preparing new clients for consults, animal handling, record management, presenting financial options and estimates, accurately reviewing service charges and entering into the client processing database, extensive client interaction, and preparing clients for their next appointment.

Essential Functions:  
Essential Functions    
  • At all times adheres to the Mission and Core Values of Veterinary Cancer Group   
  • Follows Supervisor Handbook policies, protocols, and procedures   
  • All functions associated with Senior Client Care Specialist job description as well as the following:   
  • Direct the day-to-day activities of the Client Care Specialist staff through leading by example    
  • Manage Doctor Schedules for your facility   
  • Manage Employee Schedules   
  • Manage Accounts Receivable for your office   
  • Manage the referring veterinarian database   
  • Patient Records Management- from new files to purge files   
  • Create a stimulating and motivating environment for fellow staff members  
  • Assist the Executive Management Team in keeping the CCS Manual up to date   
 
  • Follow new hire training protocols with any new hire, establishing a positive and lead by example relationship with your inexperienced staff members   
  • Review and explain training materials to staff members on an ongoing basis    
  • Set goals for and with each CCS and oversee timelines   
  • Present job descriptions for front office staff and provide training tools so goals may be accomplished   
  • Delegate appropriate tasks to team members, then hold them accountable   
  • Provide positive and corrective reinforcement to change inappropriate or negative behaviors   
  • Anticipate future needs based on trends affecting the front desk and prepare for them   
  • Keep practice manager or acting practice manager informed on issues related to the front office 
  • Communicate ways to improve client/patient satisfaction   
  • Keep accurate records on front office staff so that job performance can be accurately evaluated    
  • Perform 90 day (about 3 months), annual and as needed performance reviews of staff   
  • Ensure that all doctor letters go out throughout the day in a timely fashion   
  • Ensure that doctor communications including laboratory results are completed in a timely fashion   
  • Assist with annual budget for staffing needs   
  • Order office supplies/postage   
  • Perform other duties as assigned   
  • Use your executive management team for assistance and support in achieving excellenc 
 
 
 
 
Supervisory Responsibilities:      
      
This position does have supervisory responsibilities. Provides guidance, assistance, and training to employees and is responsible for providing direction and the evaluation of staff. Interviews, hires, and trains assigned staff; plans, assigns, and directs work; conducts performance appraisals; counsels and disciplines employees; addresses complaints and helps resolves problems.        
       
Pay Range: $28.00-$33.00 hourly dependent upon experience.
