JOB DESCRIPTION

 

Position Title: Administrative Assistant

Department: Operations

Location: Cactus, TX

Reports to: Terminal Manager

 

Principle Responsibilities:

  • Assist Operations and Manager as needed.
  • Data entry into multiple systems.
  • Make copies of bill of ladings to send to feed yards and plant.
  • Relay appointment information to drivers coming into the plant to unload.
  • Prepare correspondence, reports, mailings, e-mailings, etc.
  • Manage multi-line phone system.
  • Prepare daily reports for management morning meetings.
  • Assist with quarterly and annual goals process.
  • Assist in preparation of numerous reports and contracts.
  • Assist with driver safety meetings.
  • Maintain and organize files.
  • Create PowerPoint presentations for team as needed.
  • Create and maintain numerous databases and excel sheets.
  • Assist in driver payroll preparation.
  • Assist in answering phones, bookkeeping, data entry and operation of office machinery.
  • Assist drivers with new hire orientation paperwork.
  • Additional duties as assigned.


Qualifications:

  • Strong analytical, organizational, and problem-solving skills.
  • Proficient in Microsoft Software and Excel.
  • Able to perform in an efficient and effective manner, with a focus on detail.
  • Ability to communicate clearly and concisely.
  • Reliable and dependable.
  • Ability to work in a fast paced, team environment.
  • Ability to apply good judgment and professional integrity in decision making.
  • Ability to manage multi-line phone system.
  • Strong customer service and data entry skills.
  • Transportation and dispatch experience is a plus.

 

Education: High School Diploma or GED required.
