Responsibilities:
  • Proactively work with the PA's of the management team to administer their business diaries by scheduling and arranging appointments, prioritizing access and acting as a control point for unsolicited requests for meetings;
  • Provide comprehensive administrative support to the COO, CEO, and other Senior Leaders as required, while maintaining confidentiality at all times;
  • You may be required to plan, manage and support the weekly and monthly meetings including: board meetings, group level meetings, conferences, external functions and assist in the necessary preparation, including booking venues and arranging catering;
  • You may be required to prepare and circulate meeting agendas, coordinate papers and presentations in advance with designated meeting chair and ensure invited parties join the meetings;
  • You may be required to collect and prepare information for use in discussions and meetings, record meeting minutes to maintain an accurate record of decisions;
  • You may be required to support with creating reports, presentations, letters and e-mails.
  • Work with the central travel booking team to action non-urgent requests, including flights, accommodations, transportation, and other logistics;
  • Any other tasks as may be required by the Company from time to time, which fall under the employee’s area of expertise.
Requirements:
  • Previous experience working in a similar role within a fast-paced corporate environment is desired but not mandatory – above all: availability, reliability and have excellent attention to detail;
  • Professional and enthusiastic team player with a flexible, can-do attitude that is results and service focused;
  • High energy, tenacious with a passion to deliver;
  • Strong communication, planning and administrative skills;
  • Solid experience with MS Office, with the ability to learn new systems and process quickly;
  • Ability to manage accurately multiple streams of work and prioritize workload effectively;
  • Thrive in an ever-changing environment that offers and expects flexibility and autonomy.
