Role Purpose

To support the HSE Team and wider organisation in collating, analysing, reporting and maintaining HSE systems, documents, records, information and data. To provide advice on HSE administrative processes.

 

 

Key Accountabilities

 

  • Information & Data: Collating information and data on health, safety and environmental performance, analysis of information and data to identify non-conformities, trends and areas of improvement
  • Reporting: Collate information and data required for statutory reporting of environmental matters and support the HSE Adviser (Environment Specialist) to submit reports in a timely manner
  • Systems: Manage the HSE electronic system, entering HSE actions as required, reviewing action progress, uploading information, documents and records and implementing the document control process
  • Schedules: Maintaining the audit, inspection and Safety Tour schedules 
  • Training: Develop and maintain the HSE Training matrix, liaise with external training providers, arrange training delivery, maintain records of training provision
  • Notes: Taking notes at meetings and preparing meeting minutes 
  • Audit: Support the internal auditors with administrative tasks, including maintenance of audit reports and uploading actions onto the HSE system
  • Investigation: Provide administrative support during investigations, including facilitation of meetings/interviews, retention and control of information and reports, uploading actions onto the HSE system
  • Environment: Support department Managers to manage department impact assessment plans, reporting monthly on progress made
  • Reports: Producing the monthly HSE Report and other HSE reports as required  
  • Communication: Assist with the development of internal training materials, posters, Tool Box Talks and other methods of communication for HSE matters
  • Liaison: Liaising with all departments on HSE matters
  • Support: Provide support to other members of the HSE Team

 

 

 

Essential Knowledge / Skills / Experiences

 

  • IT literate in Microsoft Office Suite (excel, power point, etc)
  • Ability to plan & work effectively with minimal supervision
  • Ability to work systematically with an eye for detail
  • Ability to carry out analysis of data to produce accurate reports
  • Effective communication skills both verbal & written
  • Good Team working skills
