Payroll Specialist (ADP Vantage)

Sumitomo Electric U.S.A. Holdings, Inc. (SEUHO) is looking for a Payroll Specialist to join our team. This position will be a hybrid remote/in-office schedule.
The Payroll Specialist is a non-supervisory, individual contributor role responsible for working in a team environment supporting the day-to-day operations in a pay cycle. This position will be reviewing all phases of hourly and salary payroll to include managing the data entry process, auditing, and finalizing payrolls. In addition, under limited supervision, the Payroll Specialist will provide support to our Payroll Analyst in the maintenance of Sumitomo Electric HCM’s System for multiple group companies.
The Payroll Specialist must have a strong HCM System knowledge, mathematical and problem-solving skills, and be able to work with multiple ADP Vantage payroll applications. This position will act as a liaison to other Sumitomo Electric Groups to process payroll.
Job Duties and Responsibilities
General Payroll Specialist duties include but not limited to followings:
- Processes 2 or more payrolls including wage and overtime payments, calculations and accurate recording of payroll deductions.
- Process, audit, analyze and review timekeeping, payroll and benefit deductions on a biweekly/semi-monthly basis.
- Reconcile payroll prior to final processing to ensure accuracy.
- Generates and verifies payroll reports out of payroll system.
- Prepares periodic reports of earnings, taxes and deductions as requested by leadership.
- Reconciles quarter-end and year-end reports.
- Verifies and reconciles W2s prior to issuance.
- Sets up garnishments and levies, processes off-cycle manual checks and termination pay checks.
- Completes applications in multiple states in order to set up state tax IDs, ensures proper set up and accurate state tax filings.
- Maintains direct deposit documentation, pre-note processes and system data.
- Trains employees and managers on use of the time keeping system.
- Maintains notification processes to employees and managers, resolves employee access issues and other questions in a timely manner.
- Documents and updates written payroll procedures.
- Maintains payroll documentation and files.
Back up support for our Payroll Analyst duties that include but are not limited to:
- Assist in the maintenance of Vantage core tables, EDA for Workforce Manager and Manage User Security.
- Create reports via Custom Reporting.
- Work with group companies to identify and troubleshoot issues within the Sumitomo products and applications.
- Provide support and become an expert in the Sumitomo product offerings to be able to address issues and provide "white glove service" to our internal customers.
- Identify bottlenecks in SEG’s product and work with other internal teams to rapidly find solutions.
Qualifications
- BS/BA in accounting/business or similar relevant field.
- CPP designation preferred.
- 5+ years of progressive ADP payroll experience with large group companies.
- ADP Vantage HCM system experience required.
- ADP Workforce Manager or Kronos Dimensions experience preferred.
- Ability to work independently and under minimal supervision as a member of the HR team.
- Strong mathematical and problem-solving skills.
- Solid understanding of payroll, payroll tax and wage attachment regulations required. Experience with multi-state payrolls a plus.
- Clear and concise verbal and written communication skills.
- Excellent organizational, planning, and prioritization skills.
- Ability to manage multiple priorities at the same time and work in a fast-paced office environment.
- Strong MS Office skills (e.g., Word, Excel, PowerPoint) and advanced knowledge of Microsoft Excel (Pivot tables, VLOOKUP and other advanced Excel functions and formulas).
- Ability to maintain confidential information, professional demeanor under pressure and effectively work with employees at all levels.
- The ideal candidate is a team player, a quick learner, self-motivated/self-starter, detailed oriented and determined.
- Ability to raise issues proactively and in a timely manner.
- Ability to check and verify the accuracy of work.
The base salary range for this non-exempt position is $50,000 to $70,000 annually.
Compensation may vary depending on a number of factors, including a candidate’s experience, qualifications, skills, competencies and location. Base pay is one part of the total compensation and benefits package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives.
