POSITON SUMMARY:
This position supports the Department of Subways, Facilities Division’s geographical districts by providing comprehensive administrative and office support across payroll, enterprise asset management (EAM), and email notification and response functions. Responsibilities include tracking operational and district-level project goals, monitoring progress, and reporting updates to senior leadership. The role also provides clerical and analytical support such as maintaining databases, preparing reports, analyzing data, coordinating meetings, drafting correspondence, and following up on outstanding items. In addition, the position responds to customer and internal complaints, prepares executive-level responses, and conducts field visits as needed to support district operations.
RESPONSABILITIES:
- Assist in the planning, execution, and oversight of Facilities Division projects.
- Monitor project initiatives and maintenance performance goals, reporting progress to executive leadership in a clear and timely manner.
- Prepare comprehensive reports and manage, track, and analyze data using various systems and tools to support operational decision-making.
- Support administrative functions including meeting coordination, correspondence, bulletin tracking, database management, and document preparation.
- Facilitate effective communication and follow-up across senior staff, district teams, and other internal departments to ensure timely completion of deliverables.
- Respond to customer complaints and prepare formal responses, including executive‑level communications and briefings.
- Conduct field visits and perform additional duties as assigned to support district operations and project needs.
EDUCATION AND EXPERIENCE:
Transit Management Analyst Trainee:
- A baccalaureate degree from an accredited college or university.
DESIRED SKILLS:
• Strong analytical and quantitative skills, with the ability to interpret data and support operational decision‑making.
• Excellent written and oral communication skills, including the ability to communicate effectively with personnel at all levels of the organization.
• Project management skills, including experience tracking assignments, deliverables, and due dates.
• Ability to work efficiently under demanding timelines and manage multiple priorities simultaneously.
• Proficiency in MS Excel, Access, PowerPoint, SharePoint, Visio, and data visualization tools such as Microsoft Power BI or Tableau.
• Ability to assist with reporting, status updates, dashboard inputs, and other analytical tasks.
• Basic knowledge and understanding of transportation, maintenance, or construction terminology.
