Job Summary:

The Coordinator, Training Support & Administration plays a key role in supporting agency wide learning initiatives. This position manages training transactions in PeopleSoft ELM, supports compliance and mandated training programs, provides customer service to employees and managers, and ensures accurate, timely administration of all learning activities.

Responsibilities:

  • Support the design, development, and communication of internal and external training programs.
  • Enter, update, and validate transactions and enrollments in PeopleSoft ELM.  Maintain catalog.
  • Maintain and index documents received through the request tracking system (Siebel and UCM).
  • Run reports to monitor training activity, KPIs, and compliance status. Send notifications
  • Provide high-quality customer service by researching and resolving training related inquiries.
  • Collaborate with employees to troubleshoot system issues and ensure data accuracy.  Support instructors and stakeholders.   
  • Monitor assignment quality and service delivery in alignment with SLAs.
  • Support mandated training initiatives and ensure compliance with state and federal requirements.
  • Create and update job aids, quick guides, and communication materials.
  • Build and maintain Power BI dashboards to support reporting needs.
  • Track, analyze, and report on training metrics, ensuring data accuracy.

Required Knowledge/Skills/Abilities:

  • Strong organizational skills with accurate HR data entry, record maintenance, and confidentiality.
  • Effective communication and collaboration across teams, with solid problemsolving and timemanagement abilities.

 

Required Education and Experience:

  • Bachelor’s Degree in Arts/Sciences (BA/BS) in Business Administration, Public Administration, Management or a satisfactory equivalent of education and experience may be considered in lieu of a degree.
  • Minimum of one (1) year of related experience, preferably in a Shared Services environment.
  • Minimum 1 year of working knowledge of PeopleSoft or similar enterprise systems.
  • Minimum 1 year of experience, proficiency with Microsoft Office and ability to learn PeopleSoft ELM and MS Office 365 tools.

The Following is/are preferred:

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Teams; ability to learn new systems quickly, including PeopleSoft ELM and Power BI.
  • Strong data analysis and data entry skills, including auditing, correcting errors, reconciling discrepancies, and producing actionable insights.

 

Other Information

May need to work outside of normal work hours (i.e., evenings and weekends)

Travel may be required to other MTA locations or other external sites.
