Administrative Assistant

Essential Responsibilities & Duties
- Responsible for front office traffic area, phones, and packages.
- Office administration: inventory, order supplies, maintenance, organization, scheduling, sort and distribute incoming and outgoing mail and packages, and carry out other office procedures.
- Vendor management, purchasing, invoice processing, and generating reports.
- Staff support: assist team of professionals with various administrative tasks.
- Project support: review, edit, and format correspondence, technical documents, and COIs.
- Conduct administrative functions for staff onboarding and offboarding.
- Meeting coordination: reserve space, set up AV, order food, room setup, and cleanup etc.
- Administrative tasks for Accounts Payable.
- Computer savvy and able to troubleshoot technical issues.
- All other tasks as assigned.
Minimum Qualifications
- 3 to 5 years of related administrative experience.
- Must be able to work independently as well as in groups.
- Knowledge in Microsoft 365: Word, Excel, PowerPoint, and Adobe Acrobat/Revu.
- Excellent grammar, writing, formatting, proofreading, and editing skills.
- Outstanding verbal and written communication.
- Knowledge of accounting business software and experience in using numeric keypad, a plus.
- Associates/bachelor’s degree in business administration, marketing, or similar.
- Valid driver’s license.
- Massachusetts Notary License or ability to obtain is preferred.
Other Details
- Full-time, occasional overtime.
- Office Primary, 5-days per week in office.
