Where you shine

The Office Experience Manager is responsible for creating a positive, welcoming and vibrant Office Experience for the Employee Community and Company Guests. The Office Experience Manager is expected to be on-premise Monday through Friday during normal office hours. He/she will report to both the local Employee Experience/HR Director and local Office Lead.

What your success will look like

  • Administrative
    • Acts as the “face” of the office for callers, clients, and guests as the Front Desk Administrator
    • Ensures the office is fully stocked with supplies, snacks, coffee and other beverages
    • Plans, orders and oversees group lunches and other weekly office events
    • Maintains office design, furniture inventory, and appearance to create the best environment for employees and visiting clients
    • Manages local building management relationships in partnership with the local WPP liaison while ensuring facilities are clean, in good working order and up to code
    • Tracks and manages the office entertainment budget
    • Supports the Miami Leadership Team (MLT) on an as needed basis to book travel and complete expense reports
  • Culture Creator
    • Leads, plans and manages the Tuesday Morning Meetings including sourcing the content, crafting the agenda and coordinating all aspects of the meeting
    • Serves as the local culture champion by crafting and executing a monthly calendar of local events for the employee community with the support from the receptionist
    • Liaises with the central Marketing and Communication team in KC to synchronize local market extensions of network-wide events such as Foundation Day, the Annual Meeting, and Going Places
    • Conducts weekly check-in calls with the central Marketing and Communications team
    • Tracks and manages the Ministry of Fun budget
  • Office Comms
    • Responsible for the all-agency weekly TMM e-mail recaps
    • Ensures the Miami AMP page is always current
    • Provides daily/weekly announcements via e-mail and in the local office MS Teams chat of upcoming events and office occurrences

Who you are and what you bring

  • Requirements
    • At least three years of relevant office management experience
    • Experience managing a direct report
    • Ability to handle multiple projects and adjust in real time to competing demands and deadlines to support numerous people
    • Excellent command of Microsoft Word, Excel, and PowerPoint
    • Excellent verbal and written communication skills
    • Ability to resolve potential needs and issues independently and proactively
