The position: Accounting Supervisor

The Accounting Supervisor is responsible for providing support and overseeing the direction, coordination and evaluation of the following positions: Staff Accountant(s), Accounts Receivable/Collections (A/R), and Accounts Payable (A/P), in a fast-paced working environment that is quiet. Additionally, the Accounting Supervisor will be required to perform a variety of complex bookkeeping, accounting and related tasks, applying accepted accounting principles to the preparation and maintenance of accounting and other records, and preparing financial, statistical and management reports.

 

Essential Duties and Responsibilities

Duties include the following (other duties may be assigned):

  • The first work week of every month includes key accounting deadlines and corporate financial reporting (3-day close).  To avoid missing critical reporting dates and imposing an undue burden on the other members of the Accounting team, absent unusual circumstances, planned time-off in the Accounting department must be scheduled and taken outside of the first week of every month.  There will be overtime to meet the monthly closing due dates.
  • Plan and administer the monthly accounting close and subsequent analysis of financial results, as well as prepare reports for management review.
    • The monthly accounting close include:
      • Creating, reviewing and approving manual journal entries,
      • Reconciliation of inventory,
      • Inventory reserve,
      • Monthly coding,
      • Overall financial reporting of the balance sheet and Japan’s direct costing and variance reporting, and
      • Profit and loss (P/L), Balance Sheet (B/S) and Cash Flow (C/F) statements.
    • Reports for management review include:
      • Monthly manufacturing contribution,
      • Sales activity, and
      • Differences to budget.
  • Train, plan, assign and direct work, conduct performance appraisals, coach and mentor, discipline, and resolve problems within the Financial and Accounting Section. Cross- trained for A/P, A/R, Staff Accountant and Accounting Specialist tasks.
  • Reconcile balance sheet accounts and review of P/L expense accounts monthly.
  • Oversee and review daily Accounting transactions to G/L and input/output of team members.
  • Submit monthly, quarterly, semi-annual, and annual financials to Japan via SEI-GAP.
  • Responsible for the review of data from A/P and A/R, and data processed within the JD Edwards software (JDE) from all modules for appropriate financial treatment by Staff Accountant(s) and company-wide setup for all departments.
  • Review and approve company check run, and new and existing supplier setup in JDE.
  • Approve existing and new customer credit limits and assist with the collection efforts.
  • Review and inquire on customer past due and/or delinquent accounts.
  • Review of monthly fixed asset addition, disposals and depreciation.
  • Approve commission calculation and disbursements for our sales representatives.
  • Review and approve customer credit/debit memo processing in JDE for RMA (Return Material Authorization) returns, pricing, freight and/or co-op advertising.
  • Assist in developing the company budget.
  • Prepare analysis and reporting for property tax returns, and sales and use tax returns.
  • Review of monthly fixed asset addition, disposals and depreciation.
  • Develop and provide apportionment and other data for tax preparation.
  • Ensure company-wide system integrity from all modules to financials.
  • Prepare, review and process semi-annual and annual Japan royalty calculation.
  • Administer and set-up payables for annual reports and payment to representative agencies in the applicable states.
  • Provide quarterly sales data for excise/franchise tax calculation to auditors.
  • Oversee and approve annual Misc-1099 supplier issue tax forms.
  • Develop, review, update and approve company policies regarding Section.
  • Keep current with job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.

 

Minimum Qualifications and Requirements

  • Bachelor’s degree in Accounting.
  • Minimum of 5-7 years of experience in Accounting.
  • Working knowledge of accounting theories, generally accepted accounting principles (GAAP) and accounting enterprise software.
  • Must have technological skills using Microsoft applications with proficiency in Excel, Word, and strong understanding and experience with database & spreadsheet concepts.
  • Excellent supervisory skills, including hands-on supervision.
  • Must have strong interpersonal, and written and oral communication skills.
  • Must be analytical, detail-oriented and a self-starter.
  • Ability to work under strict deadlines with conflicting priorities.

 

Special Position Requirements

  • Ten-key by touch required.
  • This job operates in a professional office and manufacturing environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to sit and stand for long periods of time.
  • Some filing may be required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
