Operations Specialist, Melbourne

The Operations Specialist is responsible for Data Entry and Billing functions within the Customer Experience Team which supports Lee Hecht Harrison nationally.  The role works closely with the Sales team to help manage the best possible customer outcomes.


The role requires an in depth understanding of the full end to end Data Entry and Billing process and providing billing solutions for different customer needs.

The incumbent is required to demonstrate in-depth Orbit knowledge, high attention to detail, logical thinking and problem solving to successfully deliver on service levels. This role is an independent contributor and a key member of the National Operations team ensuring the highest quality service is provided to our Customers and Candidates.

Major Responsibilities

      Ownership and maintenance of the Operations Inbox, actioning requests within specified timeframes

      Processing the varying data entry and billing requirements into systems accordingly, managing referrals, setting up SWO’s and Dedicated Workshops in line with Customer specifications

      Ensure information required is received in order to set up engagement appointments and trigger billing within the relevant timeframes, to ensure invoicing can be processed in a timely fashion

      Follow up Customers for outstanding information required by phone then by email, escalating queries as required to ensure problems are resolved in a timely manner

      Maintain data integrity of information in Orbit

      Manage the consolidated invoices and ensure they are in line with customer requirements

      Work with global billing lead to ensure all global billing is carried out as per contracts and ensure Orbit is accurate

      Run reports from Orbit and share with relevant stakeholders to ensure revenue targets are met

      Work with Operations and Engagement Manager to provide solutions for data entry and billing that work within the LHH framework but are in line with customer requirements

      On-going identification and implementation of continuous improvement opportunities from a Customer, Candidate and Workplace perspective.
