Job Summary
The Contract Administrator will validate all incoming contracts for accuracy, ensuring clear communication throughout Sales, Service & Operations. Working closely with the team setting up new & renewing contracts, as well as reviewing the overall performance of said contracts.
Responsibilities
- Composing & validating contract renewal profile, including obtaining annual quotes from subtrades
- Presenting client with renewal proposal.
- Following up with clients for proposal approvals
- Ensuring all required documentation is collected and submitted to contracts team for processing.
- Setting up new & renewing contracts
- Creating a job warranty contracts, and completing turnover requirements upon receipt.
- Reviewing and validating performance (i.e. GM%) of current contracts
- Communicating via email all new bookings with standard notification format.
- Hosting small turnover meetings for larger/more complex contract activations.
- Host meetings with techs, sales, service coordinators & Foreman for renewals, to ensure issues are addressed.
- Regular Contract Expiry & Work in progress reports reviewed to ensure contracts are completed timely.
- Review contract status reports to ensure Inactive or On Hold contracts are actioned or advanced as needed.
- Review of Substantial completion report, in conjunction with warranty turnovers.
- Work with Service Coordinators to have outstanding contract services executed prior to contract expiry date.
- Execute contract financial validation, i.e. Billing/Revenue match cleanly before contract ends or renewal commences.
- Manage daily shared contracts inbox.
- Ensure equipment + related parts are kept up to date for all clients as start up reports and tech communications are received.
- Follow up with Sales/Tech regarding equipment management when details are found incomplete.
- Execute new job site set ups as required.
- Communicate with Operations & Account Executives regarding new equipment information for upsell opportunities or enhancements to the contract.
- Provide support and backup for other administrative responsibilities as required, assigned by Management.
- Adhere to all company policies and procedures.
- Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
- Adhere to the Company’s Quality System operating procedures.

- Possess knowledge of various contracting concepts and follow and enforce company and client requirements.
- Can be resourceful, flexible, and adaptable to changing demands and priorities.
- Can address questions and issues across all levels of the company or other parties involved.
