Job Summary: 
This position works directly with the technicians, outside sales team, national accounts department and customers. As a part of the service department, you will work with this group to generate quotations and estimates based upon information received. The Quotations Specialist remains involved in a job to help maintain the profit margin and to handle any changes in the original estimates while maintaining the highest level of customer satisfaction and balancing financial goals consistent with the needs of both the corporation and the customer. They will gather information, format each submission according to company/customer guidelines, and assist in pursuing, tracking and forecasting opportunities. 
Key Responsibilities (but not limited to): 
  • Responds to demand requests and/or recommendations via XOi, email and/or phone in a timely manner. 
  • As required, the quotation specialist is responsible for maintaining relationships with suppliers and equipment vendors. These relationships can be used to keep track of current pricing and to negotiate better rates for long-term or large-scale projects when required.
  • Assist in opportunities, administration, tracking and forecasting. 
  • Distribute quotations and follow up in a timely manner.
  • Demonstrate technical expertise and maintain a high level of credibility.
  • A detailed quotation to be completed for each recommendation that is compliant with customer contract/business unit requirements. (ie. detailed scope, the labor and material that is required, correct format)
  • Upload quotations into a third-party portal when required, submit directly to clients, or send to National Accounts for processing depending on contract requirements.
  • Once the customer accepts the quotation, the request for work order is generated.  The work order is prepped and the technician orders material. The work order gets turned over to the service coordinators to schedule.
  • Maintaining a record of quotations (approved, pending, rejected) and providing follow-up with customers when required.
  • Works closely with service technicians to ensure our commitments to the customer are kept.
  • Familiar with departmental routines to provide effective backup when required. 
  • Facilitate communication with other team members, sub-contractors’ staff and other employees. 
  • Provide support to the reconcilers and billing department upon completion of work to ensure profit margins are in line with the quotation and that work was completed within the quoted parameters. 
  • Provide support and advice on new potential businesses opportunities.
  • Identify opportunities to improve business processes and devise plans to implement these changes.
  • Reviewing products, services, and/or business ideas. 
  • Creating strategies for convincing others to take appropriate action. 
  • Prioritizing responsibilities to meet deadlines. 
  • Editing and revising submissions according to feedback.  
  • Provide support to the business development and contracts department if required. 
  • Complete contracts templates if required.  
Additional Duties May Include: 
Other duties related to the completion of service requirements by the customer as assigned. Cooperate and support interdepartmental, interdivisional, intercompany goals, directives and initiatives endorsed by the Corporation as and when required. 
 
Qualifications 
  • 2+ years experience in a similar role with strong industry experience 
  • Experience with RFP/RFQ processes, an asset 
  • Strong knowledge of Microsoft Office applications, particularly MS Excel and PowerPoint 
  • Excellent verbal and written communication skills in English. 
  • Ability to communicate effectively across all levels of the organization. 
  • Demonstrates a high degree of creativity, autonomy, flexibility, and attention to detail. 
  • Able to work under pressure and adjust quickly to changing priorities. 
  • Industry experience in technical trades, an asset.
