Advanced Veterinary Care is seeking a Specialty Referral Coordinator to join our team!

Our Practice: 
We are a full-service, 24-hour hospital, with dedicated doctors providing high quality medical care to the companion animal population in Salt Lake City. We currently provide specialty care in the departments of Critical Care/Emergency, Surgery, and Oncology (Medical) and are looking to add Internal Medicine and Cardiology in the near future

This role in our hospital is a very advanced CSR with a thorough understanding of veterinary medicine. 

Responsibilities Include:

  • Schedule appointments (first consults, rechecks, and procedures) for Oncology and Surgery (soon adding Cardiology and Internal Medicine)
  • Call for medical records for each department; briefly review records when they come in to ensure we have all that the doctors will need
  • Send out client consultation forms
  • Fax documents (anything needed by any of the specialty departments)
  • Scan all paper documents and attach to the proper patient, for all specialty clients
  • Communicate exam costs and other costs when appropriate
  • Answer all “communications” on EzyVet addressed to SRC
  • Explain diagnostics to owners, if needed
  • Check Chewy RX each day for refills
  • Be a person of contact to specialty clients, answering any questions they have and/or relaying messages or recommendations from the doctor or technician
  • Be the person of contact for referrals from Eye care and Dermatology (Eye Care and Derm are not run by AVC but in our same building)
  • Taking client calls when reception is unsure of what specialty they should be scheduled with. That starts with asking questions and, if there are still doubts, get medical records and confer with a doctor to provide the owner with the best recommendation
  • Call to confirm specialty appointments (on both the doctor & the tech schedules)
  • Check out clients in the rooms upstairs and schedule rechecks if necessary
  • Perform administrative tasks for the specialty departments, as requested
  • Calculate weekly percentages by filling out excel sheet of each type of appointment per department
  • Manage all the specialty emails (each specialty has its own). That means attach Jotforms that come in, appropriately attach lab results, respond to client’s email, file incoming emails on the correct folder, send communications to specialty techs when needed, based on the information contained on the emails 

Requirements:

- At least 2 years recent experience in veterinary practice, referral setting preferred

- Excellent interpersonal communication skills.

- Must maintain a clean and professional appearance at all times.

- Able to accept and manage critical feedback

- Is committed to delivering quality patient care
