GEI Consultants Canada is seeking a highly organized and detail-oriented Administrative Assistant to support operations at our Vaughan office. This role plays a critical part in ensuring the efficient functioning of the office by providing administrative, coordination, and clerical support to both technical and management teams within a professional engineering consulting environment.
 
The successful candidate will demonstrate strong organizational skills, professionalism, and the ability to manage multiple priorities while maintaining a high standard of accuracy and confidentiality.
 
Essential Responsibilities & Duties:
  • Responsible for front office traffic, phones, and packages.
  • Oversee office operations: inventory, order supplies, maintenance, organization, scheduling etc.
  • Vendor management, purchasing, invoice processing, and generating reports.
  • Senior Management Team and Staff support: assist team of professionals with miscellaneous administrative tasks.
  • Project and proposal support: review, edit, and format extensive documents.
  • Event planning, coordination, and hosting.
  • Shipping & receiving.
  • Book travel arrangements.
  • Meeting coordination: reserve space, set up AV, order food, room setup and cleanup etc.
  • Computer savvy and technical troubleshooting. 
Minimum Qualifications
  • 3-5 years of related administrative/office co-ordination experience.
  • Must be able to work independently as well as in groups.
  • Knowledge in MS Word, Excel, and Adobe Acrobat.
  • Excellent grammar, writing, formatting and editing skills.
  • Outstanding verbal and written communication.
  • Previous experience in an engineering/planning firm would be an asset.
  • Bachelor’s degree in business administration, marketing, or similar preferred.
  • Valid driver’s license.
