Ziff Davis is seeking an Executive Assistant who will provide administrative support to our CEO, CFO, and CAO. This role also serves as a liaison to senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. This exciting opportunity requires exceptional attention to detail, the ability to meet tight deadlines, superior organizational skills and the ability to maintain a realistic balance among multiple requests. The successful candidate must be creative and enjoy working within a fast changing environment and will have the ability to exercise good judgment and confidentiality in a variety of situations.
KEY RESPONSIBILITIES:
- Coordinate and engage with leadership in planning and organizing events, activities and calendars
- Manage complex calendar and scheduling requirements across multiple stakeholders and varying time zones, proactively resolving any scheduling conflicts
- Arrange travel and accommodations for executives
- Prepare expense reports
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives and key deliverables
- Manage sensitive matters with a high level of confidentiality and discretion
- Excellent communication and time management skills; proven ability to meet deadlines
- Ability to function well in a fast paced environment and perform additional duties as assigned by executives
- Represent the company and the executive team in a positive light through great follow-through skills and sound judgment
- Proactive planning by reading, researching, collecting and analyzing information as needed, in advance of executive meetings and calls
SKILLS AND QUALIFICATIONS:
- Exceptional organizational skills and extremely detail focused
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and G-Suite environment
- Ability to communicate effectively and professionally
- Ability to work business hours to support Eastern Time (9am to 5pm ET) and be flexible outside of core hours as dictated by the needs of the business for projects and meetings
PREFERRED ATTRIBUTES:
- 5+ years of related experience working in an Executive Assistant role supporting multiple executives or a Bachelor’s degree.
- Experience supporting Sr. Executives for domestic and international travel preferred
- Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed
- Commitment to excellence - perform duties at the highest level possible on a consistent basis
- Excellent communicator - able to interact with people of all levels in a confident, professional manner
- Demonstrate ability and temperament to work with sensitive information
- Team player - have team-oriented experience and approach
- Service focus - dedicated to meeting the expectations of the senior executives by maintaining effective relationships with interested parties
- Ability to think outside of the box with a sense of urgency
Disclosure as required by state laws, the salary range for this role is between $50,000 - $65,000, health insurance, and 401K.
