This is an exciting opportunity to be part of the MedVet Marketing team. This individual is tasked with delivering many of the premiere events for MedVet, a core component of our Partner Experience strategy. 

Reporting directly to Sr. Specialist- Event Marketing, the Event Specialist is responsible for planning and coordinating in-person events while supporting additional virtual events for MedVet throughout the year. They will be responsible for every detail of in-person Continuing Education events, VMA conferences, as well as other events and meetings that help foster relationships between referral partners and our MedVet doctors, as needed.

In this role, the Event Specialist will help with event research, strategy and outline the scope of the event, develop any event themes, concepts or activities with support of other creative team members, scout and inspect event venues, negotiate and manage vendor contracts, and collaborate with internal stakeholders to make sure the event delivers the MedVet Experience.

The position requires a highly collaborative and motivated individual with excellent organizational and project management skills, excellent verbal and written communication skills, exceptional attention to detail, and strong interpersonal and problem-solving skills. Must be comfortable working an irregular schedule including nights and weekends to accommodate organizational and partner needs.

This position will have a start date of January, 2026.

Responsibilities include, but are not limited to
  • Meets internally with event stakeholders to gain an understanding of the event's purpose and goals
  • Outlines the scope of the event, including number of participants needed, elements to make it successful including food, giveaways, etc. and determines budget
  • Scouts and inspects event venues
  • Works with vendors to get bids and determines best fit for the budget and goals of the event
  • Negotiates and manages vendor contracts
  • Coordinates event logistics and services, including technology and equipment needed to run the event, as well as food, drinks, transportation, lodging, and more
  • Manages the budget and ensures events stay within guidelines; ensure vendors are paid timely
  • Fosters and maintains relationships with caterers, venue operators, and other vendors
  • Collaborates to procure materials, presentations, and other resources for the event
  • Provides a Post-event Briefing Report and surveys event participants to gather feedback
  • Creates, manages, and maintains the event mobile application, as appropriate
  • Organizes and conducts pre/post meetings with key stakeholders, for example: presenters and volunteers
  • Solicits, trains, manages event volunteers; ensuring any paid volunteers are compensated timely
  • Additional duties as defined by the needs of the department
Knowledge, Skills, and Abilities
Our ideal candidate has a college degree in marketing, communications, or hospitality management or related major and a minimum of five years’ experience with promotion, marketing, and event/meeting planning. 
 
  • Planning and executing corporate/company events, conferences, trade shows, or similar marketing events is required.
  • Proven track record managing events of varying scales, from intimate dinners (10-30 attendees) to large conferences (500+ attendees)
  • Experience managing event budgets, including vendor management and cost optimization
  • Demonstrated ability to manage multiple events simultaneously
In addition, this position requires: 
  • Expert using the latest versions of Microsoft Word, Excel, PowerPoint, Mail Merges, and Email.
  • Proficient with event management tools such as Eventbrite, Zoom, and Expo Pass
  • Superior English-language editorial and writing skills
  • Superb organizational skills with the ability to prioritize, direct, and solve problems
  • Exceptional project management skills
  • High-detail orientation
  • Ability to work collaboratively and collaborate cross-functionally to ensure all details are communicated and flawlessly executed
  • Identifies, troubleshoots, escalates and resolves problems in a timely manner.  Persists at troubleshooting and research until problem is resolved.
  • Speaks and writes clearly and with a purpose. Able to communicate technical topics to non-technical employees. Responds well to questions.
  • Able to prioritize and perform responsibilities in a pressure environment; responds to management requests.
  • Able to lift 25 lbs.
  • Able to travel 30% to attend events in MedVet's North/East region.

Compensation: 
This position has a hiring range of $65,000 to $73,000 annually, based on skills and experience.
