Sr. Administrative Assistant
Description
Excellent people skills, proactive, self-driven, strong communication (verbal and written) skills, social but professional demeanor. The Sr. Administrative Assistant will need to juggle and prioritize workload, be excellent at multi-tasking, be detail orientated and organized, and respond well to urgent requests while working in a fast-paced environment.
Responsibilities
- Direct support Executive level leaders, including managing calendar conflicts and being a gatekeeper.
- Demonstrates an understanding of other managers' needs, preferences and schedules in order to provide support and is also proactive with an ability to anticipate needs.
- Identifies opportunities to improve work processes/flow to leverage own and department's workload. Keeps abreast of internal administrative policies, practices and guidelines.
- Advise department on awareness of, and compliance with, company policies and procedures.
- Manages domestic and international travel arrangements for executives.
- Assist with space planning, on-boarding new hires, catering/food orders, event planning,
- Coordinates meetings with internal associates and external contacts. Schedules meeting rooms, badge access/visitor passes, and equipment as required. Drafts, collects and distributes supporting documentation.
- Completes business expense report and follows up on reimbursements if necessary.
- Utilizes time management and organizational skills to juggle responsibilities and strategize on efficiency and priority.
- Works successfully in a team environment along with working closely with other admins within the business to build effective working relationships.
- Performs additional responsibilities and special projects as assigned.
- Support EMEA teams as needed, including onsite support and travel for visitors.
- Support Board of Directors as needed, including onsite support and travel.
Skills Required:
- 5+ years of prior experience in an administrative support role to key executives.
- Has ability to own responsibilities with little direction. Is self-directed and proactive – asks questions to resolve problems
- Excellent project management/coordination experience
- Polished and professional demeanor while also approachable and collaborative
- High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
- Exceptional communication, both verbal and written, to all levels of leadership.
- Must be detail oriented to ensure accurate deliverables, and able to take initiative to meet deadlines
- Requires strong attention to accuracy and details.
- Advanced understanding and demonstrated proficiency with MS Office, including Outlook, Excel, PowerPoint, and Word.
- Excellent organizational skills to maintain a productive office environment, both tactically and strategically.
- Adapts and works well with change.
- Associate degree or bachelor’s degree required.
