The role of Construction Project Assistant is critical to create and maintain critical path schedules for multi-family jobs and to provide administrative support and functional backup for other administrative positions in the organization. 

 DUTIES, TASKS, AND RESPONSIBILITIES

Critical Path Schedules (25%)

  • Under the direction of Multi-Family Field Operations Management, create critical path schedules for multi-family jobs.
  • Systematically update and maintain the multi-family critical path schedules for active jobs
  • Regularly communicate critical path changes to job site stakeholders

 

Time Administration (25%)

  • Precisely and efficiently enter daily Dept 1 timesheets to ensure correct and timely pay for all employees
  • Accurately enter all work order resolutions to document successful physical fixes, or other outcomes, to all client maintenance requests
  • Carefully perform weekly audits of driving records comparing truck GPS data to hours entered by the driver into the accounting software and share with the Residential Manager for review
  • Systematically create and distribute the monthly hot spot report based on daily work order data to all relevant parties
  • Accurately assign appropriate work order codes to the work orders, enabling accurate rework tracking.

 Licensing (15%)

  • Conscientiously manage licensing requirements for Plumbers and Apprentice Plumbers through a quarterly audit of all licenses to ensure each is up to date and valid

 General Administration (15%)

  • Attentively manage the monthly mapping of the top 10 crews in Depts 1 & 5 based on piece rate versus rework data to determine the allocation of quarterly bonuses
  • Thoroughly create monthly reports based on prescribed needs that could include market share data, financials, and budget analysis
  • Assist, as needed, in assembling O&M manuals for MF projects.
  • Carefully investigate any budget or financial variations or trends as requested
  • Diligently update production and MF public screens weekly
  • Competently update and revise process and procedures documents as needed
  • Any other MF administrative duties as assigned.

  Administrative Support (10%)

  • Accommodatingly serve as back up for both the company reception desk, providing a helpful and prompt greeting to all staff and guests
  • Accurately administer mechanical skills program

 Fleet and Safety (10%)

  • Consistently update the television in production each day to include the schedule, scorecards, pictures, and other information for plumbers to review
  • Routinely gather information from field teams regarding MF job scheduling and manpower to update team view and live view daily

WORKING CONDITIONS

  • Must be able to lift up to 50 pounds
