About the office
The office of the Deputy Vice Chancellor Academic leads the development, implementation, ongoing monitoring and performance of the University’s Learning and Teaching Strategy, Academic Programs and Student Experience, with a focus on key areas of curriculum innovation, digital delivery, equity and student and external engagement. The Office facilitates a fit for purpose, integrated and organisational wide approach to learning, teaching excellence, student experience and digital delivery aligned to University Strategy.
About the role
This position provides high-level, confidential support to the Associate DVCA & Registrar and the Pro Vice Chancellor Education. This is an important position that helps with strategic academic matters and supports key leaders in the university. The position reports to the Associate Deputy Vice Chancellor Academic & Registrar.
Key Responsibilities
- Provide confidential executive support to the Associate Deputy Vice Chancellor Academic & Registrar and the Pro Vice Chancellor Education, including managing emails, correspondence, visitors, and calendars.
- Assist with high-level meetings and committees, including preparing documents like agendas, presentations, and minutes, and following up on actions.
- Work closely with other teams to ensure smooth communication and support across the Office.
- Support the team in delivering projects and operational tasks, helping the portfolio meet its strategic goals.
- Maintain systems to ensure all executive support is consistent, compliant, and efficient.
- Contribute to the team’s goals by completing tasks accurately and on time and help improve processes and communication.
- Build good relationships with key stakeholders to ensure effective information flow and support the development of portfolio activities.
- Stay informed about relevant policies and practices to help organize and prioritize your work and solve problems that arise.
Qualifications, skills & experience
- Relevant degree and experience, or extensive professional experience, or an equivalent combination of qualifications and training.
- Extensive experience in an executive support function in a complex organisation.
- Strong knowledge of contemporary executive administration, including project management, data analysis, and meeting deadlines. sourcing and interpreting information and data and deadline delivery.
- Excellent written and verbal communication skills with strong attention to detail.
- Highly developed analytical and problem-solving skills, with the ability to work independently and provide timely, practical solutions.
- Ability to exercise independent judgement and initiative to constructively solve problems and make effective decisions based on knowledge of policy and procedures, relevant events and strategic priorities
- Demonstrated understanding of university regulatory frameworks and governance processes.
- Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work autonomously and collaboratively as part of a team.
- Proven ability to maintain confidentiality, discretion, and professionalism.
