Administrative Operations Manager

Location: On-site; Lexington, KY

Dean Dorton is one of the largest certified public accounting (CPA) and business advisory firms in the Southeast. From our offices in Kentucky, Ohio, Indiana, and North Carolina, we provide an integrated suite of accounting (outsourced accounting, audit, and tax) and advisory services (cybersecurity, operational assessments, litigation support, business valuations, healthcare consulting, plus many more). We provide these services to clients throughout the region, nationally and internationally, and we are seeking an Administrative Operations Manager in our Lexington, KY office.   

We are looking for an experienced individual who is efficient and comfortable being a leading member of the team. This role will be vitally important to the success of day-to-day operations and organization of our Firm. The ability to multi-task, while maintaining complex projects is essential in this position. The ideal candidate is resourceful, an excellent problem solver, and very organized. Assuring accurate completion of projects and assignments in a timely manner is key to success in this position. Independent judgment is required to plan, prioritize, and organize the diversified workload. 

Responsibilities:

In this role, you will report to the Senior Manager of Administration and Office Services and serve in a key role managing certain administrative functions of the Firm in the assigned market.  This will include:

  • Leading and mentoring a team of administrative professionals.
  • Overseeing document assembly, processing, and scanning, as well as office services functions.
  • Managing multiple administrative databases and systems specific to the assigned market.
  • Providing status updates and reports throughout the year, particularly during critical deadlines.
  • Preparing for the Firm's audit and tax busy seasons.
  • Recommending, designing, and implementing process improvements to enhance team and Firm efficiency.
  • Overseeing day-to-day operations, including errands, mail/shipping, supply management, and more.
  • Ensuring record retention and compliance for the assigned market.
  • Offering general office management and support for multiple offices in the assigned market.
  • Assisting the Senior Manager with office facility maintenance and management.
  • Supporting the Senior Manager with facility budgeting and forecasting.

 

Qualifications

This is an ideal position for an experienced administrative manager with working knowledge of public accounting firms. We are seeking applicants who are dedicated to a career with a proven background in an administrative leadership role. Prior experience supervising others is required.  Applicants who have experience in a similar role working in a Professional Services (Accounting or Legal) firm setting will catch our immediate attention. Experience working with Microsoft PowerBI and/or data analytics is desired.

Applicants must have the ability to perform high-level administrative duties with speed and accuracy, be technologically savvy, have experience handling confidential and sensitive information, and be able to perform these duties without immediate and constant supervision by setting priorities, meeting deadlines, and managing multiple projects on a regular basis.

Our successful candidate for this role will hold an Associate’s degree or higher, have a minimum of three (3) years of work experience serving as an office manager or coordinator leading others, be client-focused, a thoughtful listener, have a strong team mentality, and be driven to grow professionally and personally.
