Position Summary:

The Project Coordinator will provide coordination and general administrative support to Project Managers (PM), Service Managers (SM) and Estimators.  Working closely with PM’s to assist in the delivery of projects and services to Ainsworth’s clients.  Focus is on contributing to operational excellence and delivery with the operations team.  The position can lead to more integrated project coordination role and ultimately project management. The position performs semi-routine coordination and administrative duties in accordance with established procedures of moderate complexity where some judgment in the selection and interpretation of data is required.  Required to complete a weekly timesheet and code to where work was provided –work orders and projects.



Coordinating Processes

  • Small projects (W/O based) coordination under the supervision of PM/SM.
  • Assists in coordinating with the General Contractors, Consulting Engineers and suppliers regarding close-out documents,follow-ups for the shop drawings, manuals, test results, balance reports, etc.
  • Monitors ESA, TSSA, municipal building permits and closures.
  • Contacts the vendors and sub-contractors to obtain current and relevant information with regards to WSIB and Certificates of Insurance.
  • Assists PM’s and SM’s on monitoring WIP and WIP Reserve reports and works closely with the Operations team to close and invoice.

 Managing Information

  • Assists in acquiring hold back payments due to pending and incomplete close-out documentation.
  • Assists in updating the Project Management Workbook (PMW) for the PM in terms of gathering and updating the Time Card Module for the field staff. 
  • Loads and updates PMW with budgets and change orders under the direction on the PM
  • Assists the Estimators in updating electronic Bid List and file folders.
  • Document Management
  • Set up and manage the document management (Lan filing) for projects for PM’s/SM’s.
  • Executes additional required contract documents. (Example) WHMIS Material Safety Data Sheets, WSIB and insurance certificates to different stakeholders, as directed by PMs and SMs.  Forwards completed contract documents to customer or customer’s representative, as directed by PMs and SMs.
  • Assists the PMs and SMs to maintain accurate files of all customer correspondence concerning authorization to proceed.  Documentation may include purchase order, letter of intent, signed contract, and signed back quotation or proposal.  Files also include signed and sealed CCA and CCDC contracts.  Maintain a central file systemfor these contract documents.
  • Manages and maintains the company’s project database electronically and manually; keeps necessary files and information regarding archived and ongoing projects. 


  • Processes necessary documentation for bonding and insurance requests; assist in following up, along with Finance designate, with the bonding companies to provide any assistance to questions and concerns they may have regarding projects.
  • Completes the bonds with appropriate signatures and stamps, sending back to appropriate project/service managers, estimators etc. to ensure the bonds are received by the necessary dates.


  • 5 years or more of projects coordination and administration experience in multi trade Industry
  • Ability to provide timely customer service – internal and external
  • Excellent verbal and written communication skills.
  • Proficiency with MS Office applications: Excel and Word are essential.
  • Demonstrated organizational and time management skills.
  • Possess strong interpersonal and problem-solving skills
  • Ability to multi-task, work within a fast-paced environment, and prioritize conflicting demands.
