Job Summary:

The Executive Assistant provides high-level administrative, project management, and communications support in all facets of the executive officers’ daily business routines. Manages details of highly confidential and critical nature. Exercises judgement within generally defined practices and polices in selecting methods for delivering solutions.

Job Responsibilities:

  • Provide sophisticated calendar management for various senior-level executives. Schedule all internal and external meetings, and setup video and audio conferencing when required. Prioritize inquiries and obligations, exercising good judgement and creativity when conflicts arise.
  • Prepare the executives for daily calendar and activities including prioritization of meetings, advising on potential calendar/ event/ corporate issues, and preparing all necessary documents and meeting materials.
  • Coordinate complex travel arrangements point-to-point and prepare detailed itineraries to assure accuracy.
  • Prepare, review, and submit expense reports.
  • Answer incoming phone calls; determine purpose of callers and ‘gate keep’ for the executives as necessary. Coordinate with internal and external stakeholders, including executives and board members, ensuring that information flows smoothly and stakeholders’ concerns are addressed.
  • Maintain customer confidence and protect operations by keeping information confidential and routed only to appropriate areas.
  • Prepare reports and presentation materials, including internal, board and committee materials, by collecting and analyzing information, formatting for ease of viewing and use.
  • Project management to include but not limited to conducting research and compiling special reports, presentations, and project analysis.
  • Maintain and leverage in-depth knowledge of company operations, policies, and procedures to provide high-level, comprehensive support.
  • Collaborate closely with other executive assistants to align executive schedules and ensure a cohesive and efficient support system.
  • Identify and implement process improvements to enhance efficiency and productivity.
  • Adherence to and application of Envestnet legal, compliance, risk, business continuity and administrative policy within the role and department(s) including the timely completion of training & awareness, affirmations and testing as requested. 
  • As part of the responsibilities for this role, you will understand and readily support Envestnet's established corporate business practices, policies, internal controls and procedures designed to create value or minimize risk.

Required Qualifications:

  • 5+ years of experience supporting senior level executives, preferably at the C-Suite level.
  • Proven ability to handle sensitive information with discretion and maintain high-level of confidentiality and professional maturity.
  • Advanced knowledge of the Microsoft Office Suite to include Outlook, Word, Excel, and PowerPoint.
  • Proven proficiency in the collection of information and organizing into meaningful presentation materials, including, but not limited to special reports, PowerPoint presentations, and project analysis.
  • Proven ability to multi-task and manage competing priorities effectively.
  • Excellent interpersonal communication skills, both written and verbal.
  • Self-starter, extremely organized and detailed-oriented with strong commitment to accuracy.
  • Ability to operate with a high degree of independent judgment.
  • Ability to establish and maintain strong working relationships with senior-level executives within and outside the company.
  • Must be able to work in a fast paced, high-energy environment.
  • Requires strong computer and internet research skills.
  • Proven ability to manage rapidly shifting priorities and responsibilities with tight deadlines.
