Administrative Associate - Behavior Health - Norwalk, CT

Summary: To provide administrative assistance to the ICOTT/Case Management Program Director. Provides secretarial, management of daily office operation and clerical support to the program staff for 2 State funded programs to service the needs of the chronic mentally challenged.
Responsibilities:
1. Demonstrates the ability to transcribe psychiatric consultations and all other correspondence as required.
2. Anticipates the operational needs of the office by ordering supplies, preparing requisitions for purchasing/engineering and follows-up on status of requisitions.
3. Voice-mail-Utilizes sound judgement in handling crisis calls from patients. Communicates essential information to appropriate staff members. On a daily basis checks voice-mail and relates messages to appropriate personnel. Answers all in-coming calls courteously and politely.
4. Makes copies for program staff. Faxes and receives faxes and distributes in a timely fashion to program staff. Maintains medical records by accurately filing clinical data and all other pertinent information.
5. Compiles demographics, clinical data, admission/discharge dates and enters into Department database.
6. Compiles monthly and semi-annual reports for State of Connecticut Management of patient date.
7. Registration of new patients, enters insurance and demographic data into data system and submits to business office and medical records.
8. Demonstrates the ability to transcribe, fax, file reports, documents, and correspondence.
9. Provides Director with assistance for development of special projects and reports. Administrative duties supporting Director
10. Develops announcements and correspondence with regards to meetings and educational in-service presentations.
11. Reserves conference rooms for meetings. Maintains weekly schedule for Director.
12. Performs other duties as assigned.
13. Fulfills all compliance responsibilities related to the position.
Other Information:
Education/Experience Required:
- High School graduate
- Microsoft Word, Excel, Outlook, and Power Point. Works on multiple projects.
- Strong written and verbal communication and organizational skills.
- Requires 1+ year experience providing administrative support.
- Must demonstrate the ability to work under pressure, energetic, and positive demeanor. Ability to work with a multidisciplinary team. Connecticut license required.
- Associate’s degree preferred.

- Connecticut driver's license required.
Salary Range: $19.54 - $37.94 Hourly
