Summary:

The Diagnostic Customer Coordinator 3 is responsible for coordinating and scheduling complex interventional radiology procedures, ensuring accurate documentation, timely communication, and seamless workflow across multiple departments. This role requires advanced organizational skills, clinical knowledge, and collaboration with physicians, nurses, and ancillary staff to support patient safety and high-quality care.

Responsibilities:

  1. Coordinate and schedule all interventional radiology procedures (e.g., Kyphoplasty, Paracentesis, Thoracentesis, Biopsies, Central line and port placements, Y-90 radiation treatment) in collaboration with radiologists, ordering providers, and anesthesia teams.
  2. Verify and prepare all required documentation and imaging for scheduled procedures, including reviewing scripts, obtaining prior imaging, ensuring consent forms and booking slips are completed for nurses.
  3. Facilitate pre-procedure requirements, such as additional imaging, laboratory work, and protocol reviews, and monitor for finalized reports to alert radiologists when ready.
  4. Coordinate multidisciplinary workflow for complex cases, including anesthesia, Interventional Radiology Techs, Registered nurses, and performing physician or advanced practice provider, ensuring all resources and staff are aligned for procedure success. Communicate schedule changes and add-ons promptly to interventional radiology nurses, technologists, radiologists, and ultrasound staff to maintain workflow efficiency.
  5. Participate in multidisciplinary coordination, including consult facilitation between physicians and supporting tumor boards when interventional cases are discussed.
  6. Manage patient intake and pre-registration, ensuring accurate demographic, insurance, and clinical data entry to support billing and compliance.
  7. Utilize Cerner and Picture Archiving and Communication System (PACS) to upload, retrieve, and manage prior films, studies, and reports for interventional cases.
  8. Monitor PACS and scheduling systems for pending imaging and unread reports, escalating delays to leadership when necessary.
  9. Coordinate patient transport and monitor timeliness, escalating delays to radiology and transport managers as appropriate.
  10. Prepare and deliver biopsy specimens to the laboratory, ensuring proper handling and documentation.
  11. Maintain accurate logs of outpatient scripts and scheduling status, ensuring all required imaging and documentation are available for provider review.
  12. Answer phones, route calls, and respond to inquiries regarding interventional procedures, providing timely and accurate information to patients and providers.
  13. Upload CDs and external imaging into PACS and burn discs for operating rooms, cardiology, and patient requests as needed.
  14. Maintain a safe and orderly work environment, prioritizing responsibilities and adapting to workflow demands across multiple interventional and diagnostic areas.
  15. Monitor and manage worklists and inbox queues (e.g., fax queue, awaiting images folder, on-hold scripts), ensuring timely follow-up and scheduling within 48 hours of receipt.
  16. Collaborate with supply chain and department buyers to track and update orders for interventional radiology equipment and supplies.
  17. Prepare daily schedule report of IR outpatients
  18. Ability to cross cover DCC1 and DCC 2 roles when needed
  19. Maintains and Models the Organization's values.
  20. Demonstrates regular, reliable and predictable attendance.
  21. Performs other duties as required.
