Administrative Specialist

King & Spalding, a leading global law firm, is seeking an Administrative Specialist to join our firmwide Lawyer Talent Development team. We are looking for a motivated entry-level person, working with others, who will manage applicant tracking systems, coordinate interview schedules for candidates, coordinate onboarding for hires, and handle other administrative tasks. This position requires maintaining positive relationship with lawyers, support staff, clients, guests, and vendors and working as an effective team player. The highest level of confidentiality and discretion in handling firm information is required.

Candidates will have the following responsibilities: 
  • Input and maintain application data in applicant tracking system (resumes, transcripts, evaluations, correspondence)
  • Maintain relevant trackers for active candidates; prepare and send reports on active searches
  • Draft letters, agreements, and other candidate and employee correspondence
  • Prepare and coordinate candidate interview schedules; adjust schedules as needed and ensure interviews are appropriately executed
  • Collect and compile interview feedback
  • Prepare for candidate onboarding with other Business Services departments to ensure all relevant documentation and notifications are received
  • Track, organize, and process Chrome River expense reports, reimbursements, and invoices
  • Coordinate meeting rooms
  • Prepare and maintain reports and statistics and maintain market research
  • Additional duties as requested
Successful candidates are energetic, detail oriented, efficient, and have the capacity to work both independently and collaboratively in a fast-paced, high-volume environment. Candidates should have well-developed Microsoft Office skills, including Outlook, Excel, and PowerPoint proficiency. Candidates must demonstrate the ability to problem-solve and effectively communicate with all levels of personnel, and work effectively as a team player. A college degree is required.
