Marketing Events Coordinator

 

FullBloom is seeking a Marketing Events Coordinator to join our Marketing & Events Team. As a Marketing Events Coordinator you will be responsible for the execution and coordination of various local, regional, and national events. This position will support marketing team efforts across all Fullbloom divisions.  Attention to detail and the ability to uphold and deliver multiple projects at the highest quality standards—all under tight deadlines—is essential. The successful candidate is a self-starter with strong interpersonal, communication, and time-management skills.

 

This position is remote but also must be able to attend on-site meetings in our corporate office located in the Navy Yard, Philadelphia.  

 

Key Responsibilities:

  • Support Marketing Events Director in planning and execution of national and regional conferences.
  • Responsible for event design based on client assessment and execution including vendor management.
  • Manage regional conference logistics (i.e. venue sourcing, agenda building, exhibitor and sponsorship registration, shipping materials).
  • Manage logistics of the event space and the use of technology during the events.
  • Manage inventory, production process and shipping of marketing collateral and conference/event materials.
  • Manage event budgets. 
  • Assist in collateral printing and delivery with 3rd party print vendors.  
  • Order and maintain conference supplies as needed (ie: banners, displays, table throws, brochure stands, shipping materials, etc.) 
  • Submit invoices to Accounts Payable  
  • Assist Office Manager with on-site office events. 
  • Additional duties as assigned. 

Education and Experience:

  • College Degree required with Marketing or Business emphasis preferred. 
  • Event planning certification preferred. 
  • 2-4 years of event planning experience. 
  • Experience working with hotels and reviewing hotel BEO’s (banquet event orders).  
  • Strong ability to adhere to deadlines on a consistent basis with accurate results.
  • Multitasking skills and prioritization of assignments. 
  • Must work well under pressure, take initiative, and work independently. 
  • Excellent analytical and communication skills.
  • Ability to occasionally lift and move boxes, displays, promotional materials, etc. 
  • Proficiency with Microsoft Office Suite. 
  • Experience working with 3rd party print vendors.  
  • Experience with Cvent, Constant Contacts, and Microsoft Dynamics CRM is a plus.
  • Ability to work collaboratively with product stakeholders, sales and marketing teams.
  • Flexibility to adjust to new tasks or change of direction as needed.
