Executive Assistant

Department:      GM Office

Entity:                CSI US Manufacturing

Reports To:         VP & GM, North America Manufacturing

Location:           Dallas, Texas


Primary Responsibilities:

  • Proactively help VP to manage the calendar, schedule appointments, and coordinate arrangements effectively with the meeting room booked and avoid meeting/appointment conflicts in the daily calendar.
  • Assist VP in managing daily administrative affairs, including attending meetings, executing projects, coordinating resources, tracking results.
  • Prepare correspondence, meeting minutes, documents, reports, presentation and announcement typically confidential, drafting required documents in standard company format as directed.
  • Maintain an efficient flow of information with all departments. Assist VP to manage company business and operation; support VP to promote business plan implementation to ensure that the objectives to achieve.
  • Provide travel booking service to VP, ensuring the correct and cost-effective bookings are made.
  • Coordinate visits of external guests to the site and manages all necessary logistics.
  • Other tasks assigned by VP.

 

Qualifications and Experience:

  • Bachelor or above degree in Business Administration or a related field.
  • With 3+ years’ Executive Assistant working experience in a Joint-Venture or manufacturing site.
  • Professionalism and good judgment especially in handling confidential matters are crucial. Strong analytical ability and positive working attitude, able to work under pressure and eager to learn.
  • Previous experience coordinating global business travels. Ability to communicate and work in a team environment and collaborate with other administrative support.
  • Experience with Microsoft Office - proficient PowerPoint, Excel, Word, and Outlook skills are necessary.
  • High integrity, efficiency, confidentiality, and coordination.
  • Bilingual (Chinese/English) is a preferred both written and spoken.
  • Strong interpersonal and relationship management skills.
