Summary of Position

Provides day-to-day administrative/clerical support to ensure efficient operation of the CCPE office and programs. Supports the Director and the Associate Director and employees through various tasks related to planning, coordinating, and organizing the office, faculty, and student-related programs, projects, and initiatives. Responsible for confidential and time-sensitive material, the Coordinator must meet deadlines and work independently on assigned projects and tasks.

 

Center Administrative Duties 

  • Provide direct services to CCPE Program staff, faculty, and corporate / workforce learners
  • Receives and routes incoming calls and take messages
  • Organizes and schedules meetings and appointments and travel arrangements for staff
  • Maintains and keep an up-to-date contact list for various constituencies
  • Prepares and distributes correspondence memos, letters, notices, etc. as needed
  • Assists in the preparation of regularly scheduled reports
  • Submits and reconciles expense reports and prepare and monitor invoices
  • Provides general support to visitors
  • Conducts research for special projects as assigned
  • Generates reports and create presentations
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, mail schedules, and reserving space
  • Writes letters and emails on behalf of other office staff
  • Attends meetings and record minutes
  • Coordinates office protocols, processes, and procedures
  • Receives, sort, and distribute the mail
  • Maintains up to date CCPE Program-related calendars
  • Maintains CCPE’s budget to ensure that center meets revenue expectations

Fidelity CFP program

  • Oversees all logistics concerning the Fidelity CFP program.

Basic Qualifications

  • Associate Degree required
  • Minimum of 3 years related experience.
  • Proficiency in Microsoft office and google suite required.

Additional Qualifications and Skills

  • Bachelor’s Degree
  • Highly proficient in Excel including data entry, spreadsheet modification, familiarity and understanding of formulas.
