Suffolk University is excited to announce an opportunity to join a dynamic Human Resources Team as a Benefits Coordinator.  This is a hybrid position (on campus three days in Boston and two days remotely.)

This position is responsible for supporting the administration and recordkeeping for benefit programs and processing benefit changes in Workday.  Provide support for the Workday Human Capital Management system including reporting and maintenance.  Also, provides general administrative and clerical support to the Benefits Team and Human Resources Office.

Act as the day-to-day administrator of employee benefits including medical, dental, vision, FSAs, COBRA, and commuter programs. Approve benefit enrollments, changes, and terminations in Workday. Answers employee questions about assigned benefit plans and Workday, handling as many as possible independently.  Reach out to employees who have completed the benefits enrollment incorrectly or need to make updates.  Escalates more complex questions to Benefits Specialist.  Supports coordinating Suffolk’s annual Open Enrollment, Healthy U programs, and other initiatives.

Assists the Benefits Specialist with administering the University’s Tuition remission and exchange.  This includes publicizing the benefit, the application process in Service Now, verifying eligibility, and preparing any communication.  Coordinates activities with Student Accounts/Bursar’s Office, Registrar’s Office, and Controller’s office.  Performs other duties, as requested.

Also, assists the Benefits Specialist with Leave of Absence, Accommodation and Workers Compensation requests.  This includes assisting employees that apply for a leave or accommodation request, assisting employees that submit an incident report, facilitating pay and benefits, and updating files as appropriate.

Reconciles and processes monthly bills, audits benefit vendor invoices, audits and reconciles monthly benefit reports and payroll deductions, and audits integration file transfers.  Prepares check requests, purchase orders, and travel request forms and reports. Works with payroll to process necessary payroll adjustments.  Monitor integration reports to our vendors and troubleshoots errors when necessary.

Updates all Benefits communication on the Service Now portal to communicate events, new programs and updated policies.  Ensures all Benefit related communications are consistent across all channels using Service Now, Constant Contact, and Inside Suffolk.

Provide reception coverage for phone and walk in inquiries

Create and maintain HR Dashboard reporting with relevant information.  Formats correspondence, reports, charts as assigned using MS Word or Excel.

Other special projects as assigned

Qualifications:

  • HS diploma required, Bachelors Degree strongly preferred
  • At least 2+ years working in an HR or similar department with an emphasis on proving customer service to organization
  • Skills in working with the Microsoft Office suite. Experience working with Workday, Service Now, and Constant Contact is preferred
  • Excellent interpersonal skills both in-person, on the telephone, and through email communications
  • Must be committed to providing the highest level of customer service and responsiveness.
  • Ability to work in an outward facing environment that is frequent to interruptions along with colleagues both within and outside of the department
  • Excellent organizational skills, attention to detail, and the ability to multi-task
  • Experience in employee benefit administration or equivalent is preferred
  • Ability to handle highly confidential information with appropriate discretion and sensitivity required.
