Responsibilities and Expectations:
Integrated Power Services (IPS) is looking for a dedicated Administrative Assistant. The Administrative Assistant will have the responsibility for providing administrative support for Management, HR and Customer service. Responsibilities may include:
- Must be able to work in a fast-paced environment, be well organized and be able to multi-task.
- Intermediate to advanced experience working in the Microsoft Office Suite.
- Process billing and deliver invoices for all repair and field service projects.
- Open customer accounts and process credit applications
- Schedule and coordinate all third-party training and meetings.
- Process and track all PTO records.
- Deposit Checks per Accounts Payable procedures
- Assist sales team with Accounts Receivable collections.
- Maintain local HR Files
- On-board new employees
- Scan and file all repair and field service paperwork per record retention procedures.
- Adhere to all company policies.
- Observe all safety procedures and policies and use proper protective equipment (especially eye, ear protection and steel toe shoes/boots, gloves, etc.).
- Keep work area clean and organized.
- Report all injuries, near hits and accidents immediately to a supervisor.
- All other duties as assigned.
Qualifications and Competencies:
- Associate's degree (A. A.) or equivalent from two-year College or technical school; or a minimum of three to five years administrative related experience and Human Resources or equivalent combination of education and experience.
- Must have intermediate to advanced skills working in Microsoft Office products.
- Must be able to work independently with the ability to multitask and work in a fast-faced environment.
- Being bilingual in Spanish is a plus.
