FUNCTION:

To serve as the Administrative Officer of the HPI Bangladesh Program in accordance with HPI’s  objectives, policies, and procedures. The Officer will provide administrative and logistical assistance, ensuring daily operations are carried out professionally, efficiently, and effectively, and will handle day-to-day logistic functions.

RESPONSIBILIIES AND DELIVERABLES: (including approximate percentage effort)

Country office management (50%):

  • Ensure proper management of the office store
  • Administer the inventory of stationery and other office supplies and maintain proper records
  • Assist in the repair and maintenance of office property and equipment
  • Support in paying electricity, water, telephone and other regular bills of the HPI/BD office
  • Ensure the proper care of the office keys
  • Maintain pantry supplies
  • Handle petty cash

Support in implementation of the country program's day to day operations (25%):

  • Provide logistic support for smooth daily functioning of the office
  • Manage logistics for workshops, meetings, conferences including organizing venues, transportation and accommodation
  • Provide support to update data related to vehicle use such as maintenance records and fuel consumption
  • Manage the collection and dispatch of HPI/BD mail, including custom clearance for imported goods

 Secretarial services (20%):

  • Provide support for maintaining the office filing system
  • Provide administrative support including typing, proofreading and editing documents, document translation, etc.

 May perform other job-related duties as assigned (5%)

 QUALIFICATIONS AND SKILLS:

  • A Bachelor’s degree in Business Administration or related field is required, plus three (3) years of experience
  • Computer proficient in word processing, spreadsheets, electronic mail and internet (Microsoft preferred)
  • Strong written/typing and oral communication skills, in Bengali and English
  • Good leadership qualities
  • Ability to work under pressure to meet deadlines
  • Excellent organizational skills including strong attention to detail
  • Willingness and ability to travel extensively, both locally and internationally
  • Ability to foster and maintain a spirit of unity, teamwork and cooperation
