POSITION SUMMARY
This role supports Entrepreneurs’ Organization. Employment may be through a local employing entity or employer-of-record partner, depending on the hiring location.
The Entrepreneurs’ Organization seeks a Coordinator, Creative Operations to provide operational coordination supporting execution across the Marketing and Communications team. This role helps keep departmental work organized and progressing smoothly across time zones by coordinating project tracking, documentation, vendor activities, meetings, logistics, and operational follow-through.
Working within Creative Operations, the Coordinator supports creative and production initiatives from intake through delivery by maintaining visibility into timelines, workflows, and communication while reinforcing standardized processes and systems. This role functions as an operations coordination position within Creative Operations, supporting workflow continuity and operational effectiveness across Marketing and Communications.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support creative and production operations across the Marketing and Communications Team, from intake through delivery, including:
- Coordinate assigned projects and initiatives from intake through delivery, maintaining accurate timelines, status visibility, and escalation of risks or delays as appropriate.
- Facilitate communication among stakeholders to support timely execution.
- Support post-project documentation and capture of key learnings.
- Support project planning, documentation and operational execution, including:
- Assist in developing and maintaining project plans, schedules, and supporting materials.
- Prepare and maintain project documentation, updates, meeting materials, and standardized templates to ensure organized records and consistent documentation practices.
- Maintain creative operations systems, workflows, and team rhythm, including:
- Maintain project management and collaboration systems (e.g., Monday.com, Microsoft 365), ensuring projects, requests, and shared trackers remain accurate and up to date, including visibility into ownership, timelines, and blockers.
- Support recurring operational cadences, including team meetings and quarterly planning activities.
- Identify workflow friction points and improvement opportunities during project execution, escalating risks and supporting implementation of approved process enhancements.
- Support vendor, contract and financial operations, including:
- Support coordination of freelance and external vendors across the engagement lifecycle, including onboarding and offboarding, contract tracking and approvals through EO systems (e.g., Ironclad), invoice processing, and maintenance of vendor training and documentation records.
- Escalate budget, timeline, or scope discrepancies as needed.
- Provide departmental operations and logistics coordination, including:
- Coordinate scheduling and logistical support for global meetings and working sessions, including virtual and in-person engagements such as room bookings, catering, attendee coordination, and access requirements as applicable.
- Coordinate fulfillment, shipping, and swag logistics related to campaigns, team initiatives, and promotional materials, including inventory tracking and vendor coordination.
- Support SOP documentation and continuous operational improvement, including:
- Maintain centralized operational documentation, templates, and process resources within shared team knowledge hubs (e.g., SharePoint).
- Help ensure SOPs remain current as tools, vendors, workflows, and team responsibilities evolve.
- Other supportive or ad hoc projects as assigned.
QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED
- Bachelor’s degree in project management, marketing, communications, operations, or related discipline preferred, or equivalent professional experience.
- 2–4 years of experience in project coordination, creative operations, marketing, or related roles.
- Foundational understanding of creative, marketing, and production workflows.
- Strong organizational skills with the ability to manage multiple concurrent priorities.
- Experience supporting operational or administrative processes within team environments, working with senior stakeholders.
- Proficiency in Microsoft 365 products and familiarity with project management platforms such as Monday.com or similar tools.
- Strong written and verbal communication skills, with a service-oriented mindset and the ability to communicate clearly and respectfully across cultures.
- Demonstrated attention to detail and exceptional follow-through.
- Comfort working in a fast-paced, global environment with evolving priorities.
- Advanced written and oral english.

Compensation: $44,000 - $57,000 MXN Gross Monthly Salary

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS / ROLE CONDITIONS
- This role is primarily sedentary/light work and requires regular use of a computer, telephone, and video-conference platforms.
- The role requires the ability to communicate effectively in writing and verbally and to participate in virtual and in-person meetings.
- The role requires travel up to 5%
- The role requires occasional early morning/evening meetings across time zones
