POSITION SUMMARY

This role supports Entrepreneurs’ Organization. Employment may be through a local employing entity or employer-of-record partner, depending on the hiring location.

 

The Coordinator, Regional Meetings & Events, is responsible for all registration aspects for members, guests, speakers and sponsors for assigned Regional Events and Meetings, providing registration reports as requested and providing member service through emails and phone calls. This includes managing registration onsite at assigned Regional Events and Meetings, supporting participants, and ensuring everything runs smoothly during the event. This role is also responsible for coordinating transportation logistics, meeting room set up and Food & Beverage requirements. The Coordinator, Meetings & Events, will also manage the end-to-end logistics and onsite execution of smaller meetings, including budgeting and vendor negotiations and contracting. In addition, the Coordinator, Events & Meetings maintains EO event procedures and updating SOPs. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as Registration lead for all designated Regional Events and Meetings 
  • Create event listings for each event in Cvent; ensuring registration fees, confirmation messages, cancellation policies and event waivers are accurate and up to date 
  • Manage payment processing and post event reconciliation in Cvent 
  • Manage registration lists and waitlists for each event 
  • Monitor all registration launches for all Regional Events and Meetings with Event Lead, Technology Team and other team members 
  • Manage and lead registration onsite for designated Regional Events and Meetings.  
  • Create name badges and other printed material for event purposes. Serve as liaison for vendors that supply registration services, such as on-demand badge printing, freight shipping, name badge beaconing, event apps, travel agencies 
  • Respond to member calls and emails regarding all general inquiries concerning registration process and events. 
  • Compare hotel rooming lists and the registrant lists for Regional Events and Meetings 
  • Manage the hotel rooming list for those rooms associated to the master account (staff, speakers, committee members) 
  • Manage the reporting of Event team data, including registrations, evaluations, hotel tracking reports and related historical data 
  • Maintain and update the Events process manual / SOP 
  • Schedule meetings and document detailed notes to support project coordination, including team meetings and Team calls requiring Simultaneous Interpretation (SI) arrangements. Serve as the official recorder in all meetings requiring documentation and record-keeping. 
  • Assist to maintain operational plans, project execution timelines, manpower allocation charts, action lists, and project schedules. 
  • Coordinate post-event survey reports, detailing relevant event KPIs. 
  • Assist in reconciling costs against the budget as directed. 
  • Contribute to research, presentations, and creative development tasks. 
  • Provide administrative support to the Events & Meetings team as directed by manager 
  • Provide event registration training for other staff 
  • Collaborate with internal and external stakeholders to assist in content creation for event website launches and updates, as well as marketing and general email communications 
  • Manage end-to-end event logistics, including hotel and venue coordination, transportation, social events, vendor relations, Simultaneous Interpretation (SI) arrangements, F&B, budgets, contracts, onsite execution, and post-event follow-up for smaller meetings 
  • Other duties and assignments as necessary 

 

QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED

  • A Bachelor's degree is required. 
  • 2 years of experience in event planning, hospitality, tourism/travel, administrative support, communications & marketing. 
  • Strong knowledge of the event industry across multiple countries in Asia is an advantage. 
  • Bilingual proficiency (written and verbal) in English and Mandarin. Knowledge of an additional Asian language is a plus. 
  • Exceptional customer service skills and negotiation skills. 
  • Excellent interpersonal skills, with the proven ability to build relationships with key stakeholders and interact with entrepreneurs. 
  • Highly organized and detail-oriented, with a solution-driven mindset. 
  • Self-motivated individual who takes initiative, anticipates needs and demonstrates ownership, while working harmoniously and effectively within a team. 
  • Ability to maintain high standards under pressure, meet tight deadlines, and prioritize tasks in a fast-paced environment. 
  • Passionate about contributing fresh ideas to the team and growing alongside the organization. 
  • Proficiency in the Microsoft Office (Excel, Word, PowerPoint, and Outlook) is required. Experience with Cvent, Canva & Monday is an added advantage. 
  • Ability to travel regionally up to 10% of the time, with a willingness to travel overseas as required.

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS / ROLE CONDITIONS

  • This role is primarily sedentary/light work and requires regular use of a computer, telephone, and video-conference platforms.
  • The role requires the ability to communicate effectively in writing and verbally and to participate in virtual and in-person meetings.
  • The role requires travel up to 10%
  • The role requires early morning/evening meetings across time zones when needed
  • The role requires lifting/moving up to 5 kgs, as applicable.
