POSITION SUMMARY
This role supports Entrepreneurs’ Organization. Employment may be through a local employing entity or employer-of-record partner, depending on the hiring location.
The Coordinator, North Asia provides high-quality operational, administrative, and communication support to the Regional Manager and regional leadership team. This role is responsible for coordinating regional call logistics, supporting onboarding for new Chinese-speaking members, and coordinating regular WeChat and newsletter content. The role also participates in required regional meetings, tracks action items, and helps ensure a smooth, professional, and member-centered experience across North Asia.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Regional Support and Administration
- Provide day-to-day administrative and coordination support to the Regional Manager on regional priorities, timelines, and follow-up items.
- Schedule and coordinate regional calls, committee meetings, and other required regional meetings across multiple time zones.
- Prepare agendas, meeting links, attendance lists, presentation materials, minutes, and action trackers.
- Maintain organized records, SOPs, contact lists, calendars, and reporting documents.
- Follow up on action items and support execution of regional initiatives and projects.
Call Logistics and Meeting Coordination
- Own end-to-end logistics for virtual calls and selected in-person meetings, including invitations, confirmations, reminders, technical setup, and post-meeting follow-up.
- Attend required regional meetings and provide note-taking, minute circulation, and action-item tracking.
- Coordinate briefing documents, talking points, attendance lists, and deadlines to ensure meeting readiness.
- Troubleshoot logistical issues before and during calls to ensure a seamless participant experience.
New Member Onboarding
- Coordinate onboarding for new Chinese-speaking members, ensuring a smooth, welcoming, and professional transition into the EO experience.
- Serve as a first point of contact for onboarding-related questions, membership processes, digital platform navigation, and regional touchpoints.
- Coordinate with membership and chapter leaders to gather onboarding information, track progress, and support timely follow-up.
- Help new members understand upcoming regional opportunities, communications channels, and engagement options.
Communications, WeChat, and Newsletter Coordination
- Coordinate a regular calendar of WeChat media posts and newsletter content aligned with regional priorities and events.
- Draft, translate, edit, proofread, format, and schedule content in Chinese and English as needed.
- Work with internal stakeholders, members, and contributors to gather stories, announcements, and event promotions.
- Ensure communications are accurate, timely, brand-aligned, and relevant to the regional audience.
- Maintain a content calendar and track basic engagement or performance metrics where applicable.
Member and Stakeholder Support
- Provide responsive, service-oriented support to members, volunteer leaders, and internal stakeholders.
- Help answer member questions related to calls, communications, onboarding, deadlines, and regional activities.
- Build strong working relationships with Chinese-speaking members and other regional contacts.
- Support additional regional projects, events, and administrative needs as assigned.
QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED
- Bachelor's degree preferred in business administration, communications, marketing, event management, or a related field.
- 3-5 years of relevant experience in coordination, administration, member services, community management, event support, communications, or a similar role.
- Fluent in Mandarin Chinese and English, with strong written and verbal communication skills in both languages.
- Experience supporting onboarding, community or member engagement, or client and customer coordination preferred.
- Previous experience in an entrepreneurial community, membership organization, chamber, association, startup ecosystem, or administrative field is preferred.
- Experience coordinating newsletters, digital communications, and/or WeChat content is highly desirable.
- Comfortable working in a regional or international environment across multiple stakeholders and time zones.
- Willingness to participate in required regional meetings and occasional regional travel if needed. About 20% travel.
- Excellent organizational and project coordination skills.
- Strong attention to detail and ability to manage multiple deadlines.
- Professional communication skills and a strong service mindset.
- Strong meeting management capability, including scheduling, agendas, minutes, and follow-up.
- Ability to work independently while collaborating closely with the Regional Manager and wider team.
- High level of discretion, professionalism, and confidentiality.
- Proficiency in Microsoft Office or Google Workspace, Zoom or Teams, spreadsheets, presentation tools, and basic content scheduling or newsletter platforms.

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS / ROLE CONDITIONS
- This role is primarily sedentary/light work and requires regular use of a computer, telephone, and video-conference platforms.
- The role requires the ability to communicate effectively in writing and verbally and to participate in virtual and in-person meetings.
- The role requires travel up to 20%.
- The role requires occasional early morning/evening meetings across time zones.
- The role requires lifting/moving up to 5 kgs, as applicable.
