This role supports Entrepreneurs’ Organization. Employment may be through a local employing entity or employer-of-record partner, depending on the hiring location.
The Coordinator, Events & Meetings (North America & LAC) is responsible for all registration aspects for members, guests, speakers and sponsors for assigned Global Events and Meetings, providing registration reports as requested and providing member service through emails and phone calls. The Coordinator, Events & Meetings also helps coordinate communication pieces for assigned events and provides administrative assistance to the Vice President, Connections, the Directors and Managers on the team. In addition, the Coordinator, Events & Meetings maintains EO event procedures and may also help manage small events or meetings as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serve as Registration lead for all designated Global Events and Meetings (North America and LAC Region)
- Create event listings for each Global Event in CRM; ensuring registration fees, confirmation messages, cancellation policies and event waivers are accurate and up to date
- Manage payment processing and post event reconciliation in CRM and Microsoft Excel documents
- Manage registration lists and waitlists for each event
- Create invoices and receipts for members on request
- Compare hotel rooming lists and the registrant lists for Global Events and Meetings
- Manage the hotel rooming list for those rooms associated to the master account (staff, speakers, committee members)
- Respond to member calls and emails regarding all general inquiries concerning registration process and events.
- Provide accurate and timely registration reports to the VP, Directors, Managers
- Create name badges and other printed material for event purposes
- Manage and lead registration onsite for designated Global Events and Meetings
- Coordinate shipping and packing for each event
- Assist Event Leads with creation of Registration Launch plans – timing for each regions’ ticket release time; monitor all registration launches for all Global Events and Meetings with Event Lead, Technology Team and other team members
- Serve as the front line of customer service to our members for each event
- Manage reporting of assigned events and Meeting data. Includes registration, evaluations, hotel tracking reports, and other registration related historical data.
- Responsible for the maintenance and updating of the Events process manual, including revising existing procedures and working with team to create new procedures where needed
- Inventory all materials for Global Events and Meetings; coordinate purchasing materials with vendors
- Serve as liaison for vendors that supply registration services, such as on demand badge printing, freight shipping, name badge beaconing, mobile apps, travel agent.
- Serve as recorder in all meetings, such as program debriefings, that require documentation for record-keeping
- Provide administrative support to the Events & Meetings team as directed by manager
- Provide event registration training for other staff
- Other general logistics support for events as directed
- Help create marketing emails to promote events
- Help create registrant e-mail updates to registrants for assigned program
- Help create content for event website launches and updates
- Help create content for the on-site program book for each event
- Manage FnB Selection and dietary requirements
- Serve as project manager in consultative role for certain events
- Other duties and assignments as necessary
- Bachelor’s Degree
- 2 or more years administrative experience, association work, event planning or coordination related work
- Proficiency in MS Excel is a must.
- Proficiency in Microsoft Office Presentations tools
- Excellent customer service skills
- Demonstrate a solution-oriented mindset
- Ability to travel domestically and internationally up to 15% of the time
- Advanced written and spoken English

Compensation: $44,000 - $57,000 MXN Gross Monthly Salary.

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS / ROLE CONDITIONS
- This role is primarily sedentary/light work and requires regular use of a computer, telephone, and video-conference platforms.
- This role requires to attend in person events throughout the year.
- The role requires the ability to communicate effectively in writing and verbally and to participate in virtual and in-person meetings.
- The role requires travel up to 15% or 6-8 events per year
- The role requires [occasional early morning/evening meetings across time zones]
- The role requires lifting/moving up to 5 kgs, as applicable.
