Job Title: Administrative Assistant

Ministry/Department: Multisite

Reports to: Campus Multisite Pastor

Status: Full-time, non-exempt

Supervisory Role: No

Objective

This position is accountable for providing administrative and project support to the Campus Multisite Pastor so that he best serves the organization at a strategic level in a prepared, focused and intentional way.

Key Responsibilities

  • Directly manage administrative details of the Campus Multisite Pastor
  • Assist in the coordination and collaboration of campus teams and central ministry teams
  • Manage budget preparation, monthly budget reviews, spend tracking and credit card reporting
  • Manage logistics and timelines for special events and projects (i.e., team meetings, off-sites, training events, team care/fun, etc.) as needed
  • Manage all communication and integration among team members, congregation members and community to ensure high levels of responsiveness, effectiveness, collaboration and follow through on priorities and deliverables; to include email follow up, written and verbal communication
  • Coordinate all travel arrangements for pastor and travel companions
  • Manage ministry initiatives, Ministry Action Plans (MAPS), ministry budgets and daily tasks of multisite ministry area as directed by the Campus Multisite Pastor by:
    • Managing initiative timelines and administrative details of ministry initiatives
    • Taking notes and formatting (MAPS) to be distributed to campus teams
    • Continually review and keep ministry budgets on track
    • Managing calendar, Basecamp and Slack channels of Multisite Ministry area
  • Collaborate with the campus discipleship and Campus Discipleship & Multisite Project Manager as needed
  • Maintain an authentic and growing walk with Jesus Christ through the ongoing spiritual disciplines of Bible reading, prayer, personal worship, fasting, confession, repentance and fellowship and being a disciple-making disciple
  • Create and maintain effective organization, file management, planning and calendaring systems to support project and team management

Education and Experience

  • 3-5 years of administrative experience preferred

Position Type/Expected Hours of Work

This is a full-time, non-exempt position reporting to the Campus Multisite Pastor. Days and hours of work are typically Monday through Friday 8:30am - 5pm. However, the schedule may vary depending on church needs.

The church has several big events, (“All-Skates”) throughout the year to help further the mission of Eleven22. These events are mandatory for all staff to be in attendance and may vary, depending on the vision cast for the current year.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Ministerial Exception

The ministerial exception furthers the purposes of the Free Exercise and Establishment Clauses of the First Amendment by barring legal claims against church bodies by staff members who perform religious functions. All church pastors are subject to the exception, but a formal ministerial credential is not required. While there is no rigid formula to determine other church staff members that qualify, various factors are considered to determine which staff members are subject to the ministerial exception (please see handbook).
