ROLE SUMMARY

We are seeking an organized and proactive Office Manager who will play a critical role in managing day-to-day office operations while supporting HR functions in our Finland Office, as well as providing HR and operational  assistance in other Ookla offices in Europe as needed. The ideal candidate will be a highly motivated self-starter with a strong attention to detail, exceptional organizational skills, and a solid understanding of HR administrative tasks. In this role, the Office Manager will help enhance the office's operational efficiency and contribute to the growth and development of our HR processes and employee experience.


KEY RESPONSIBILITIES

Office Management:

        Oversee and maintain the office environment, ensuring it remains organized, welcoming, and fully operational.

        Manage office supplies, equipment, and vendor relationships to ensure cost-effective operations.

        Handle incoming and outgoing communications (calls, emails, post) and assist with scheduling meetings, events, and travel arrangements.

        Coordinate with external service providers, including cleaning, maintenance, and IT support, to ensure smooth office operations.

        Ensure the office is compliant with health and safety regulations and manage any necessary updates or changes.

        Assist with the onboarding process by preparing office materials and welcoming new hires.

        Assist with employee engagement initiatives and other HR-related projects as needed.

        Handle HR-related queries from employees and direct them to the appropriate resources or personnel.

        Provide assistance with event planning and management, as well as other HR and Operations related needs, on an as needed basis,  for the other Ookla offices.


REQUIREMENTS

        3+ years of experience in office management, administrative support, or HR assistance.

        Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

        Basic knowledge of HR processes, including recruitment, onboarding, payroll, and employee relations.

        Excellent communication skills, both written and verbal, in Finnish and English.

        Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HR software or systems (e.g., HRIS, applicant tracking systems).

        Strong attention to detail and ability to handle confidential information with discretion.

        Ability to work independently and as part of a team, maintaining a positive and proactive attitude.

        Previous experience in a multicultural environment is a plus.
