WHAT WE ARE LOOKING FOR

The Sr. Event Technology Project Coordinator will serve as a lead on small-to-medium scale events simultaneously, as well as in a support capacity on medium-to-large scale events. This role is responsible for supporting and project managing event registration and attendee-facing digital platforms. This entails working with clients and other stakeholders to scope, build, launch and maintain digital event experiences and actively managing the attendee registration process. The Sr. Event Technology Project Coordinator will support event attendees through customer service and manage attendee data and reporting. This role will also support and manage onsite operations for related workstreams, including but not limited to badge pick-up/attendee check-in, attendee help desk, session scanning deployment, and content management functions through session catalogs and mobile apps.

 

This is an internal and client-facing role, working alongside Opus Project Managers, Technical Architects, Housing Managers, and Attendee Support team members, as well as external partners. The Sr. Event Technology Project Coordinator may fill support roles, workstream lead roles, or lead small project teams within Event Technology & Registration. This role requires the ability to independently manage own work and the ability to manage a small team’s deliverables over extended planning cycles.

 

The Sr. Event Technology Project Manager will ensure planning deadlines are proactively met, budgets are maintained, Opus and client processes are implemented, and client needs are anticipated and exceeded.


YOU SHOULD HAVE

  • 2-3+ years of experience in a relevant role is required, with preference for experience in corporate events with the following tools: Rainfocus, Stova, Swoogo, Bizzabo, Cvent, Eventbase, Airtable
  • Proven experience in coordination of projects or events successfully from concept to execution
  • Bachelor's degree from four-year institution is preferred.

 

ESSENTIAL RESPONSIBILITIES

  • Lead the planning, execution, and closeout of attendee-facing event technology projects including, but not limited to registration, session scanning, and customer service
  • Work as lead on small-to-medium sized events and in support roles on large programs
  • Understand all workstreams supported by Opus Event Technology & Registration (e.g., technical architecture/platform configuration, housing management, customer service) and effectively partner with those team members on given projects
  • Independently manages assigned tasks on multiple concurrent projects across event types
  • Act as the primary point of contact for clients, internal stakeholders, and vendors for all event technology and registration workstreams
  • Demonstrate proficiency in digital platforms and tools; understands functionality, user experience, and troubleshooting; consults clients on configuration best practices
  • Develop, maintain, adhere to, and drive workback schedules
  • Manage documentation and content for platform/tool builds, translating business objectives into detailed technical specifications, documented processes, and project plans
  • Participate actively in team and client meetings and document meeting outcomes. Able to lead recurring client meetings.
  • Proactively identify potential risks and develop mitigation strategies, escalating critical issues to senior management as appropriate
  • Delivers projects within time and budgetary requirements
  • Oversee standard onsite deployments, including for badge pick-up, session scanning, and other event technology workstreams, and support complex onsite deployments in the same areas
  • Participate and contribute to internal resources; recommend process and resource improvements
  • Note: The Sr. Event Technology Project Coordinator may be placed in staffing assignments including event technology project management/support, registration management/support, housing management/support, and customer service.

 

 

SUPERVISORY RESPONSIBILITIES

 

  • Supervises work of project team members from Event Technology & Registration
  • Oversees work of temporary staff deployed onsite at events

HOW WE’LL TAKE CARE OF YOU
Our job titles may span more than one career level. The starting salary for this role is between $60,000 and $70,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.
