JOB DESCRIPTION

 

Job Title: National School Secretary

Reports to: Head of National School

 

Role
To provide comprehensive administrative support to the Head of National School and the wider school community, ensuring efficient daily operations. This includes maintaining a welcoming, professional school environment, managing field trips and organising co-curricular activities (CCA) in liaison with the International School Secretary. The role requires excellent organizational skills, a proactive approach, and the ability to manage multiple priorities effectively.

Responsibilities

Administrative Support

  • Act as the primary point of contact for all administrative inquiries, ensuring timely and professional responses.
  • Manage the Head of School’s calendar, including scheduling meetings and coordinating appointments.
  • Maintain and organize confidential records, correspondence, and reports.
  • Prepare and distribute school communications, including newsletters and notices.
  • Ensure the smooth functioning of the school office, including supplies and equipment management.

Co-Curricular Activities (CCA) Coordination

  • Plan and manage CCA schedules, liaising with teachers and external contractors to ensure activities are well-staffed and organized.
  • Organise safer recruitment checks for external CCA contractors..
  • Maintain accurate records of student participation and performance.
  • Communicate with parents regarding schedules, updates, and changes.

Field Trip Co-ordination

  • Act as trips co-ordinator, carry out all organisational duties and maintaining all necessary documentation.
  • Liaise with teachers and external vendors to ensure successful execution of trips.
  • Uphold safeguarding protocols and support emergency procedures during trips.

Event and School Activities Support

  • Assist with the planning and execution of school events, such as assemblies, open days, and parent-teacher meetings.
  • Collaborate with other staff to ensure events align with school values and objectives.

Data Management and Reporting

  • Maintain and update students’ data in SKIPS MOE platform regularly

 

  • Maintain accurate and up-to-date student and staff records, ensuring compliance with school policies.
  • Provide data and reports as required to support school operations and planning.

Collaboration with Key Stakeholders

  • Work closely with school leadership and teachers to support educational and operational goals.
  • Build positive relationships with parents and external stakeholders to foster engagement and satisfaction.

Qualifications and Experience

  • Diploma or degree in Administration, Education, or a related field (preferred).
  • Proven experience in an administrative or secretarial role, preferably in a school setting.
  • Proficiency in Microsoft Office Suite including Word and Excel.
  • Experience in a school database management system such as ISAMS (preferred)
